About The Position

Hannaford Supermarkets is seeking a Pharmacy Scheduling Coordinator to manage the scheduling for all Hannaford pharmacies. This role involves coordinating pharmacists' time off, sick calls, and emergency needs, ensuring adequate 7-day per week staffing. The coordinator will also manage PTO requests, enter pay codes into Kronos, and work to reduce premium time pay and travel costs through effective planning. This position requires strong communication, problem-solving, and time management skills, with the ability to work independently and as part of a team in a fast-paced environment. The role also involves building relationships with various levels of leadership within the pharmacy and operations departments.

Requirements

  • High school diploma or equivalent.
  • Minimum of 5 years of retail experience.
  • Successful completion of criminal background check and drug testing as required.
  • Excellent communication and customer service skills.
  • Strong keyboard skills and a demonstrated ability to learn new software applications.
  • Proficient in MS word, excel, and outlook.
  • Kronos experience.
  • Effective time management skills and sense of urgency.
  • Effective interpersonal skills and ability to work in a team environment.
  • Demonstrated ability and willingness to learn multiple tasks and technical requirements of the job.

Responsibilities

  • Coordinates schedules for all Hannaford pharmacies, including pharmacists' vacation time, sick calls, emergency needs, FMLA, LOA, etc.
  • Posts Regional Support Pharmacist (RSP) rough draft coverage schedules to the scheduling platform two Wednesdays in advance of the scheduled week. A final draft is posted by the Wednesday preceding the effective week.
  • Rotates after hours and weekend on call duties with other team members, available for emergency situations to find coverage for open shifts, sick calls, etc., ensuring appropriate 7-day per week staffing for our pharmacy departments. Addresses daily scheduling conflicts, questions, and special requests.
  • Provides PTO request guidelines, approves time off requests, formulates, and distributes the vacation schedule for the upcoming year. Ensures PTO usage is distributed evenly throughout the year to minimize additional payroll expense.
  • Enters pay codes into Kronos timecards where appropriate for extra shifts and/or nonproductive (sick, jury, training, etc.) time worked. Verifies PTO time submitted by pharmacists in Kronos.
  • Reduces Premium Time pay and Travel Rx costs through effective planning, managing RSP hours to meet job class (20hr, 24hr, 30hr, etc.) over each 4 week each pay cycle. Reconciles RSP payroll at the conclusion of each four week pay cycle to ensure associates are paid correctly.
  • Manages pharmacy schedule changes through turnover, rotation changes, transfers, and new hires.
  • Communicates regularly with Regional Pharmacy Operations Managers (RPOM) in their respective coverage areas to improve communication and address operational issues and HR concerns.
  • Builds support network through effective relationships and communication with Director of Pharmacy, Directors of Operations, RPOMs, store leadership, pharmacy managers, and staff and regional support pharmacists to best serve the daily needs of each pharmacy department.
  • Perform all other duties as assigned.
