It also includes posting all payments, balancing computer reports at day end, and requires a high level of public contact and excellent interpersonal skills. The position arranges for patient pre-payments and enforces financial agreements prior to providing service. Responsibilities include gathering charge information, coding, entering into the database, completing the billing process, and distributing billing information. The role also involves filing insurance claims, assisting patients with insurance forms, processing unpaid accounts by contacting patients and third-party payers, and acting as a liaison between patients and medical support staff. Key duties include greeting patients, checking them in, verifying and updating insurance information, obtaining necessary signatures, assisting patients with ambulatory difficulties, maintaining the appointment book, providing front office phone support, screening visitors, and responding to routine requests for information. The role is responsible for gathering, accurately coding, and posting outpatient charges, processing vouchers and private payments, researching address verification, processing mail return statements, and acquiring billing information for all doctors and patients. Cashiering functions, including monitoring and balancing the cash drawer daily, preparing daily cash deposits, receiving payments, issuing receipts, and coding/posting payments are also part of the role. The position works with patients to secure prepayment sources or financial agreements, participates in account resolution, assists with outpatient coding and error resolution, processes edits and customer service/collection requests, identifies trends, communicates problems to management, and updates the patient account database. Maintaining and updating physician schedules, scheduling surgeries and ancillary services, answering questions regarding appointments and testing, assembling patient charts, updating patient profiles, overseeing the waiting area, and assisting patients with insurance-related questions are also key responsibilities. The role processes benefit correspondence and insurance forms to expedite payment, assists patients in completing forms for pre-certification, follows up with insurance companies for coverage approval, posts actions, and maintains permanent records of patient accounts. Answering patient questions about their accounts, confirming workers’ compensation claims, preparing disability claims, following up with insurance companies for claim payments, and maintaining files with referral slips and authorizations are also included. The role researches information for outpatient billing, codes procedures and diagnoses, keys charge information into the system, processes and distributes billings, pulls charts for appointments, delivers/transports/sorts/files charts, picks up lab reports and correspondence, checks for misfiled charts, maintains orderly files, files medical reports, purges obsolete records, destroys outdated records, makes new patient charts, repairs damaged charts, and assists in locating and filing records. Collaboration with medical assistants and other staff to route patient charts and adherence to medical records policies are expected. The role collects payments at time of service, reviews accounts for timely payment, performs collection actions, evaluates patient financial status, establishes payment plans, reviews accounts for collection agency assignment, identifies and resolves billing complaints, and follows up on accounts until zero balance. Participation in educational activities, gathering and verifying superbills, entering charge and payment information, printing and verifying daily reports, backing up and closing computer files, registering new patients, updating financial information, and maintaining confidentiality are also required. The position performs related work as assigned and is expected to maintain a neat and professional appearance, demonstrate commitment to service, and uphold office manual guidelines.
