About The Position

This position is responsible for scheduling patient appointments and tests in an efficient and timely manner. It involves answering incoming calls, directing them to the appropriate personnel, and serving as a liaison between patients and medical staff. The role may also involve being a lead employee, orienting, training, and assigning work to other employees as directed by a supervisor. The position requires adherence to the Cancer Care Northwest Compliance Program, including the Code of Ethics and Business Standards.

Requirements

  • High School diploma or equivalent required.
  • At least two (2) years of directly related experience such as medical coding or billing, patient advocate, or social services, required.
  • Must demonstrate the ability to verbally articulate information and questions with others in order to perform responsibilities effectively.
  • Must be personable.
  • Proficiency with computer systems, medical billing systems, and Microsoft Office Outlook & Word, required.

Responsibilities

  • Answer all incoming calls, assess callers' needs, and direct them to the appropriate personnel. Page clinic personnel as appropriate.
  • Obtain and communicate messages accurately and in a timely manner.
  • Schedule outpatient appointments, referrals, testing, hospital surgeries, and hospital admissions upon request.
  • Obtain necessary pre-certification as required.
  • Schedule return appointments in the computer system according to physician and/or office guidelines.
  • Cancel/reschedule appointments according to physician schedule changes and office guidelines; notify appropriate clinic personnel.
  • Notify appropriate personnel when authorizations are needed for services scheduled.
  • Handle new patient referrals, gather necessary information, register new patients in the computer, and schedule appointments.
  • Collect co-pays, deductibles, and other out-of-pocket amounts at the time of visit as needed.
  • Maintain the primary office scheduling book containing all physician meetings, satellite schedules, vacations, and on-call coverage.
  • Handle incoming phone calls from patients needing to schedule or reschedule appointments in accordance with office guidelines.
  • Provide patients with accurate and legible appointment cards.
  • Document no-shows in patients’ charts for missed visits.
  • Follow up with patients to reschedule any missed appointments.
  • Arrange for patients to have financial counseling as needed.
  • Demonstrate an understanding of patient confidentiality to protect the patient and clinic/corporation.
  • Follow policies and procedures to contribute to the efficiency of the front office.
  • Cover for other office functions as requested.
  • Handle correspondence, memos, forms, and emails as requested by supervisor.
  • Provide guidance and daily work directions to other employees as requested by supervisor.
  • Perform all other duties/responsibilities as necessary or assigned.
