About the position

The Patient Care Coordinator at The Hearing Place is a crucial role focused on providing exceptional care and support to patients dealing with hearing loss and related conditions. This position involves managing patient interactions, ensuring a welcoming environment, and handling various administrative tasks to facilitate smooth office operations.

Responsibilities

  • Serve as the welcoming voice and face of The Hearing Place, guiding patients through the new patient process.
  • Open and close the office, maintaining a clean and professional front desk area.
  • Handle inbound and outbound phone calls with empathy and clarity.
  • Construct and maintain manual/electronic patient files, chart notes, audiograms, legal documents, and correspondence.
  • Manage hearing aid orders, payments, and patient invoices efficiently.
  • Responsible for the receiving, inspecting, processing, and shipping of all hearing aid orders, batteries, and accessories.
  • Assist with various administrative tasks to support the smooth operation of the office.

Requirements

  • 3+ years in a professional customer service or administrative role.
  • Medical office admin or management experience is ideal.
  • Excellent verbal communication skills, especially for interacting with patients who have hearing impairments.
  • Highly organized with a professional, outgoing demeanor.
  • Comfortable with learning new software and navigating computer systems.
  • Reliable, self-starter who can adapt to various tasks and accommodate patient needs.

Nice-to-haves

  • Experience in retail sales, sales support, or marketing communications.
  • Proficiency in MS Word, MS Excel, MS PowerPoint, MS Outlook, and internet search engines.
  • Bi-lingual in Spanish is a plus.
