About the position

The Patient Access Representative plays a crucial role in the Centralized Patient Access Center by registering, scheduling, and processing duties for patients at the clinic. This position involves utilizing the EMR system to manage patient information and ensure a smooth patient experience from check-in to check-out. The representative is responsible for verifying patient details, collecting payments, and handling various administrative tasks to support the clinic's operations.

Responsibilities

  • Answers phone with correct salutation and takes messages when appropriate.
  • Documents all messages into electronic EMR.
  • Greets each patient warmly and cheerfully.
  • Verifies patient information, demographics, and insurance coverage is correct, making changes in the EMR as needed.
  • Checks in the patient in the EMR.
  • Updates and scans updated information and forms into the EMR system.
  • Generates a 'No Show' letter in the patient chart in the EMR system if a patient does not show for a scheduled appointment.
  • Scans and attaches paperwork received into the EMR system and sends appropriately.
  • Collects faxes, scans them into the EMR, and distributes appropriately.
  • Collects patient co-pay and prior balances, posts to account, and gives receipt.
  • Checks out the patient in the EMR system and pulls orders from the checkout function.
  • Schedules return appointments and testing after obtaining precertification per provider checkout orders.
  • Completes and sends medical records requests per provider orders.
  • Completes referrals through the EMR following correct protocol.
  • Runs and reconciles receipts following established protocol.
  • Verifies insurance and completes the deposit slip and appropriate end-of-day reports to balance upfront collections.
  • Performs other job duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Knowledge and training in medical terminology, keyboarding, and computer skills preferred.
  • Basic skills in Microsoft Office preferred.
  • Previous experience preferred in the areas of scheduling.
  • Computer literacy required.
  • Broad range of administrative and technical skills in the context of the healthcare environment.
  • Demonstrates critical thought process and can work independently.
  • Ability to make decisions based on departmental policy.
  • Requires listening skills to maintain cooperative associations.
