About The Position

ITW is seeking a Patent Project Coordinator to support at least three in-house patent attorneys. The primary responsibilities are: Interpreting correspondence to identify and track docket dates for patent prosecution and internal project deadlines. Maintaining and updating patent prosecution and correspondence dockets. Detailed electronic filing and data retrieval. Preparing and occasionally filing of IP documents, including routing for execution. Formatting specialized forms, spreadsheets, and various documents. Coordinating, routing, and tracking foreign filing recommendation forms and instructions within enterprise. Generating, formatting, and updating reports. Downloading and organizing patents and patent-related documents. Creating and maintaining an agreement docket. Designing/formatting presentation slides. Assisting with IP recognition-related processes and events. Liaising with IP staff and legal staff on projects. Understanding, improving, and simplifying processes associated with IP workflows. Performing other departmental duties and projects as assigned.

Requirements

  • An associate degree at a minimum is required.
  • 5+ years of experience in an administrative support role and/or an administrative project-related role.
  • Technical competence in MS Office 365 – Outlook, Word, Excel, Access, PowerPoint, and SharePoint.
  • Ability to efficiently multitask and prioritize responsibilities in a fast-paced environment.
  • Ability to work with limited supervision and also effectively as part of IP and legal team.
  • Ability to work onsite at the Glenview office with flexibility in hours.
  • Detailed and accurate data input capability.
  • Candidate must have a strong sense of professional responsibility.

Nice To Haves

  • Knowledge of, or experience with, patents strongly preferred.
  • Preferred experience with CPi or other IP Matter Management and/or docketing software.
  • Preferred experience with electronic legal billing systems.
  • Status as Notary Public is a plus.
