About The Position

The Partnerships & Investments Coordinator will be responsible for building relationships, creating meaningful experiences, and helping a mission grow. This role is the heart of Penfield’s volunteer engagement program and a key partner in cultivating emerging donors. The coordinator will manage volunteer activities, support donor stewardship, and contribute to grant research and small-grant applications. This position combines community engagement, communication, and project management, and is ideal for someone who thrives in a collaborative environment and wants to make a measurable impact on children and families.

Requirements

  • Bachelor’s degree or equivalent experience
  • 2-4 years of experience in nonprofit development, volunteer coordination, fundraising, grants or related fields
  • Experience coordinating volunteers or managing community-facing engagement efforts.
  • Strong written communication skills, including experience with newsletters, donor communications, or grant writing.
  • Highly organized and detail-oriented, with the ability to manage multiple projects and deadlines.
  • High proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Basic comfort with technology, including CRM systems and tracking engagement and fundraising data.
  • Strong interpersonal skills with the ability to engage volunteers, donors, and partners professionally.
  • Ability to work collaboratively, take initiative, and adapt to changing needs.
  • Ability to work in a standard office environment, including prolonged periods of sitting, standing, and computer use.
  • Ability to view computer screens, read printed materials, and accurately process written information.
  • Ability to lift, carry, or move materials and supplies up to 20 pounds as needed for events or volunteer activities.
  • Ability to travel locally for meetings, volunteer coordination, and community engagement.
  • Ability to engage in frequent talking, listening, and interpersonal communication in person, by phone, and via virtual platforms.
  • Ability to use hands and fingers for repetitive tasks such as typing, filing, handling documents, and operating office equipment.
  • Must complete all required health and safety clearances in accordance with Penfield Children’s Center policy, including an annual flu vaccination.

Responsibilities

  • Coordinate Penfield’s volunteer engagement program, including individual, group, corporate, and Adopt-A-Family volunteers.
  • Manage volunteer recruitment, onboarding, communication, scheduling, and stewardship.
  • Develop content for volunteer communications, including newsletters and impact stories.
  • Support strategies that move more volunteers towards deeper engagement and philanthropic investment, including warm handoffs to gift officers.
  • Manage and steward a portfolio of emerging and lower-level donors, contributing to departmental revenue goals.
  • Support donor acknowledgement, stewardship communications, and engagement strategies that promote retention and growth.
  • Conduct proactive research to identify foundation, corporate, and community funding opportunities aligned with Penfield’s priorities.
  • Monitor funder guidelines, eligibility, deadlines, and submission cycles.
  • Draft and prepare small grant applications (up to $10,000), including narratives, budgets, and required attachments, under final review of the Grant Manager.
  • Support the Grant Manager with research, background materials, and program-related information for larger or more complex grants.
  • Maintain organized grant tracking systems, calendars, and proposal files, and reporting timelines.
  • Assist with grant stewardship and reporting by gathering outcomes, documentation, and impact narratives from program staff.
  • Collaborate with program staff to gather outcomes, metrics, and stories for volunteer communications, donor stewardship, and grant proposals.
  • Support department-wide fundraising campaigns, stewardship activities, and engagement initiatives.
  • Provide targeted support for Penfield’s Croquet Ball fundraising event, including assisting with cataloging and populating auction items, maintaining accurate tracking, and supporting related event logistics as assigned.
  • Contribute to continuous improvement of development systems, processes, and engagement pathways.
  • Participate in team meetings, planning conversations, and reporting related to volunteer and donor engagement.
  • Provide meeting documentation support by taking clear, concise notes and tracking action items during P&I meetings, VTOs, and relevant board and committee meetings.
  • Perform other duties as assigned.
