About the position

The Client Services Specialist at Countryside Pet Clinic plays a crucial role in delivering exceptional customer service while ensuring a smooth flow of clients and patients through the animal hospital. This position involves direct interaction with clients, managing check-in and check-out processes, and supporting the medical staff in various administrative tasks.

Responsibilities

  • Greet clients and determine their needs for both clients and patients.
  • Complete the check-in and check-out process for clients.
  • Maintain a professional and courteous manner with staff and clients.
  • Communicate with clients during their wait times to enhance their experience.
  • Ensure a picture of every patient is taken and added to their chart.
  • Promote Paw Plans and other clinic initiatives set by the Leadership Team.
  • Schedule clients for prompt treatment and other necessary services.
  • Verify client information for accuracy before they leave the clinic.
  • Assist with client reminders for health assessments and other services.
  • Pull patient charts for daily appointments and update information as needed.
  • Flag clients once the reception check-in process is complete.
  • Assist technicians in filling preventative prescriptions for clients.
  • Perform over-the-counter sales of merchandise and provide product knowledge to clients.
  • Invoice clients, collect fees, and manage payment processes according to hospital policies.
  • Advise hospital staff about incoming emergencies and maintain cleanliness in the reception area.
  • Prepare and send various correspondence for the doctors and Hospital Manager.
  • Demonstrate a full working knowledge of AVImark procedures.

Requirements

  • High school diploma or GED required.
  • Prior client service experience preferred but not required.
  • Basic veterinary medical knowledge, including products and services.
  • Excellent oral and written communication skills.
  • Basic computer skills, including Microsoft Office and AVImark experience preferred.
  • Strong organizational skills with the ability to multi-task.

Nice-to-haves

  • Bachelor's degree preferred.
  • 1 year of experience in medical terminology preferred.
