About the position

The Part-Time Foundation Office Assistant supports the work of the Foundation through clerical and data entry work and assistance with special events. This position is an on-campus, part-time, up-to 19-hour appointment based in Champaign, Illinois. The Part-Time Foundation Office Assistant is a part-time, 19-hours-per-week appointment on a schedule established by the Manager of Foundation and Alumni Relations. Internal and external events occasionally necessitate an altered work schedule. The position involves handling of confidential information and records. At times, minimal supervision is provided; the Part-Time Foundation Office Assistant must be able to work independently and accurately prioritize tasks.

Responsibilities

  • Provide support to the Foundation staff related to data entry in Foundation database and Foundation Scholarship software.
  • Assist with Student Orientation sponsorship process including sponsorship letters and other donor communications.
  • Assist with Foundation Scholarship process which includes generating reports for student/donor correspondence, reports on donor contact information, and scholarship filing.
  • Answer telephone, written, and in-person inquiries about the Foundation and Parkland College.
  • Filing and organizing financial, donor and alumni file (both paper and electronic).
  • Prepare mailings and order office supplies.
  • Assist with special events as needed.
  • Other duties as assigned.

Requirements

  • High School diploma or equivalent.
  • Three (3) to five (5) years of experience in serving the public and organizing office procedures and operations.
  • Must successfully complete a criminal background check with fingerprinting.
  • Excellent organizational, motivational, verbal, and written communication skills and the ability to work well with people of diverse backgrounds.
  • Proficient in Business Math.
  • Proficiency in Microsoft Office Suite applications, specifically Word, Access, and Excel.

Nice-to-haves

  • Ability to learn the Parkland information system and new programs as technology changes.
  • Willingness to suspend SURS annuity upon employment if applicable.
