About the position

The Operations Program Manager is responsible for overseeing and executing key administrative projects and activities within the Administration Division. This role involves managing contracts and MOUs, providing operational support, and handling various ad-hoc projects and budgets. The position requires exceptional attention to detail, strong communication skills, and the ability to manage competing priorities while maintaining confidentiality and delivering high-quality customer service.

Responsibilities

  • Serve as the primary administrator for all APIC contracts and MOUs.
  • Manage the APIC contract management system, including routing and approval of contracts.
  • Provide training for new hires on the contract management system.
  • Ensure the contract/MOU database is up-to-date and provide monthly updates on deliverables.
  • Manage expiration dates on contracts and MOUs, providing timely notices.
  • Provide project and budget management support for ad-hoc projects for the Executive Team.
  • Manage general operational and administrative support for the Executive Team, including email support and report generation.
  • Oversee expense management for the Executive Team and ensure SOPs are current.
  • Manage day-to-day operations of APIC HQ, including meeting logistics and supply ordering.
  • Provide logistics support for the Annual Conference, including pre-conference and onsite assistance.
  • Serve as the liaison with HQ building management and handle mail and package shipments.
  • Manage APIC's security system and coordinate key fob access for new hires and visitors.
  • Ensure all office equipment is functional and order supplies for HQ.
  • Create and deliver training on systems, SOPs, and processes for new hires.

Requirements

  • Bachelor's degree in business or a related field or equivalent experience.
  • 5-7 years of progressive program management experience.
  • 5-7 years of administrative experience.
  • Advanced knowledge of Microsoft Office products (Outlook, PowerPoint, Word, Excel, SharePoint) and database management systems.
  • Proven ability to complete projects according to outlined scope, budget, and timeline.
  • Exceptional organizational skills with attention to detail.
  • Strong decision-making capability and proactive problem-solving skills.
  • Ability to prioritize and manage multiple tasks effectively.
  • Excellent oral and written communication skills.
  • Ability to maintain confidentiality of data and information.
