About the position

The Operations Coordinator (Nonprofit) role is crucial for ensuring exceptional service delivery to fund-holders and stakeholders within a philanthropic organization. This full-time, hybrid position involves managing accounts payable and scholarship administration, while collaborating with various teams to maintain business quality and uphold service standards.

Responsibilities

  • Process payment requests for fiscal sponsorships and other funds.
  • Manage scholarship payments and verify payee ACH information as needed.
  • Assist with scholarship application, selection, and award processes.
  • Provide technical support to users of the scholarship management platform.
  • Monitor and respond to inquiries from scholarship applicants and stakeholders.
  • Support Donor Relations and Finance departments with technical and administrative tasks.
  • Maintain and update documentation for processes, identifying areas for improvement.
  • Administer the weekly grant process for donor-advised funds.
  • Collaborate with the Operations and Service team to meet organizational goals.
  • Open and close the office and manage guest reception.
  • Set up and break down conference rooms, including A/V equipment and meeting refreshments.
  • Maintain clean and stocked office spaces for staff and visitors.
  • Deliver prompt, friendly, and efficient service, addressing customer needs proactively and providing solutions that align with service standards.
  • Maintain accurate data, documentation, and compliance with organizational policies and IRS regulations.
  • Collaborate with internal teams to coordinate service, ensure data accuracy, and support donor engagement efforts.

Requirements

  • Full-time work experience in a professional office setting, with a focus on client-facing roles.
  • Experience with processing various payment transactions such as accounts payable, grants, scholarships, or nonprofit funds.
  • Strong commitment to providing excellent customer service and maintaining confidentiality in handling sensitive information.
  • Proficient in Microsoft Office Suite, electronic data management, and internet software. Experience with project management tools (e.g., Asana) and scholarship management systems (e.g., Foundant or CommunitySuite) is a plus.
  • Effective problem-solving skills with the ability to implement new technology tools to enhance efficiency.
  • Exceptional attention to detail, accuracy, and the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills, with the ability to convey information clearly and correctly.
  • Ability to work collaboratively as part of a team and independently with minimal supervision. Willingness to assist team members during high-volume periods.
  • Capacity to engage effectively with a diverse range of volunteers, donors, and community leaders at all levels.
  • Availability to work during regular business hours and occasionally evenings or weekends as needed.
  • Genuine participation in diversity, equity, and inclusion initiatives, with a commitment to addressing opportunity gaps in Central Texas.
