About The Position

The Operations and Compliance Administrator plays a vital role in supporting Borealis’ day-to-day operations and long-term growth objectives. This position combines administrative, compliance, and fleet management functions and requires a motivated, detail-oriented individual with strong communication skills and a willingness to adapt to a fast-growing environment. Working closely with branch teams, corporate operations, and leadership, the Compliance & Operations Administrator ensures operational efficiency, regulatory compliance, and a high level of customer service.

Requirements

  • Strong administrative and compliance background, with familiarity in ERP/cloud-based systems.
  • Knowledge of safety, risk management, and fleet maintenance programs.
  • Strong Computer proficiency (Microsoft Office, Google Suite).
  • Excellent communication, coordination, and organizational skills.
  • Attention to detail, analytical thinking, and the ability to handle multiple priorities.
  • High school diploma required
  • 3–5 years of experience in administration, compliance, or fleet coordination.

Nice To Haves

  • Energy industry experience preferred, with knowledge of propane and transportation/logistics considered an asset.
  • post-secondary education in Business Administration, Compliance, or a technical field preferred.

Responsibilities

  • Provide administrative support across Operations, Safety, Compliance and Fleet.
  • Maintain safety, inspections, maintenance, and compliance records in alignment with Transport Canada, NSC, and internal policies.
  • Maintain accurate records of all maintenance activities, including repairs, parts replacements, and servicing schedules.
  • Oversee carrier licence requirements, driver compliance (including ELDs), and risk mitigation processes.
  • Coordinate fleet maintenance schedules, monitor usage data, and liaise with vendors and service providers.
  • Support onboarding/offboarding processes, employee training setup, and HR record management.
  • Prepare reports, presentations, and data analysis for leadership review.
  • Monitor facility inspections, log deficiencies, and track action items to closure.
  • Ensure timely communication with internal teams and external stakeholders.
  • Contribute to system integration and updates and process improvements.
  • Ensure compliance with Fleet Maintenance and Safety Compliance record-keeping procedures.
  • Other duties as assigned.
