About the position

The Office Manager at Joys Cleaning Service plays a crucial role in ensuring efficient office operations and providing administrative support. This position involves scheduling customer jobs, managing communications, and assisting with project management tasks. The ideal candidate will have experience in office management, particularly in handling bid packages for government entities, and will be familiar with construction estimating processes.

Responsibilities

  • Provide general administrative and clerical support to ensure efficient office operations
  • Schedule customer jobs on QuickBooks
  • Answer emails in a timely fashion
  • Perform data entry, transcribe documents, and maintain accurate records
  • Coordinate projects and assist with project management tasks as needed
  • Assist with collecting documents for tax purposes and bid packages
  • Follow up with customer requests/complaints
  • Assist with filing, scanning, and organizing documents
  • Familiarity with estimating software and reading plans to prepare estimates for cleaning, demolition, and polished concrete
  • Renew government certificates
  • Perform other duties as needed

Requirements

  • Proven experience as an office assistant or in a similar role
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines
  • Excellent communication skills, both written and verbal
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Knowledge of clerical procedures and office management systems
  • Attention to detail and problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • At least 2 years of experience handling bid packages for government entities, preferably familiar with the construction bidding process and measuring architectural plans for flooring and demolition.
