About The Position

PathAI is seeking a hands-on, highly organized Temporary Office Manager to maintain their Fenway headquarters and play a central role in executing upcoming events and conferences. This contract role, reporting to the Chief People Officer, is ideal for someone who excels at logistics, enjoys creating welcoming spaces, and is motivated by transforming to-do lists into smooth employee and visitor experiences.

Requirements

  • 3+ years of office management, event coordination, or workplace experience, preferably in a startup or fast-growing company.
  • Ability to juggle multiple workstreams in a fast-paced environment.
  • Exceptional organizational skills, attention to detail, and follow-through.

Responsibilities

  • Manage the day-to-day operations of the Fenway office, including maintaining cleanliness, layout, and ambiance of kitchen, conference rooms, and shared spaces.
  • Restock supplies, snacks, and refreshments, and manage mail and package flow.
  • Plan and execute company events from start to finish, including the annual all-company event, team offsites, dinners, and celebrations.
  • Source venues, coordinate catering, manage run-of-show, and collaborate cross-functionally for events serving approximately 170 employees.
  • Lead conference and meeting logistics, including booking rooms, coordinating AV setup, and managing catering for interviews and internal meetings.
  • Serve as the on-site point of contact for meetings and conferences.
  • Support employee experience initiatives in partnership with the People team, including operationalizing in-office programming, new hire moments, and weekly all-team lunches.
  • Manage vendors and build relationships with property management, caterers, and service providers.
  • Act as the escalation point for office-related issues.
  • Provide administrative and event-day support to interview teams, visiting executives, and meeting organizers.
