About The Position

PathAI is seeking a hands-on, highly organized Temporary Office Manager to maintain their Fenway headquarters and play a central role in executing high-visibility events and conferences. This contract role, reporting to the Chief People Officer, is ideal for someone who thrives on logistics, enjoys creating welcoming spaces, and is energized by transforming to-do lists into smooth employee and visitor experiences. The Fenway office is the in-person hub of the company, hosting collaborations, showcasing culture, and bringing major moments to life.

Requirements

  • 3+ years of office management, event coordination, or workplace experience, ideally in a startup or fast-growing company.
  • Comfortable juggling multiple workstreams in a fast-paced environment.
  • Exceptional organizational skills, attention to detail, and follow-through.
  • Strong interpersonal, verbal, and written communication skills.
  • Approachable, professional demeanor.

Responsibilities

  • Manage the day-to-day operations of the Fenway office, including maintaining cleanliness, layout, and ambiance of kitchen, conference rooms, and shared spaces.
  • Restock supplies, snacks, and refreshments, and manage mail and package flow to ensure the office is a desirable place to work.
  • Plan and execute company events end-to-end, such as PathAI's annual all-company event, team offsites, dinners, and celebrations, including sourcing venues, coordinating catering, and managing the run-of-show for approximately 170 employees.
  • Lead conference and meeting logistics, including booking rooms, coordinating AV setup, managing catering for interviews and internal meetings, and serving as the on-site point of contact.
  • Support employee experience initiatives in partnership with the People team, assisting with in-office programming, new hire moments, weekly all-team lunches, and other touches that enhance the office environment.
  • Manage vendors and build relationships, interfacing with property management on work orders, coordinating with caterers and service providers, and acting as the escalation point for office-related issues.
  • Provide light administrative and event-day support to interview teams, visiting executives, and meeting organizers.
