About The Position

GBC is seeking an Office and Events Coordinator to support office operations and event execution during an exciting period of organizational growth and change. This role is ideal for someone who enjoys creating structure, improving processes, and taking ownership of projects while delivering exceptional service. The successful candidate will be comfortable navigating a fast-paced environment, identifying opportunities for improvement, and helping build scalable systems that support the organization's long-term success. The Coordinator will own daily office operations and serve as the operational backbone for GBC's events. The ideal candidate is someone who makes sure nothing slips and is comfortable owning responsibilities, managing vendors, coordinating across teams with clarity, and stepping in where needed without being told. This is a 50/50 split role between office operations and events support — but in practice, it is one seamless job: keeping GBC organized, professional, and running at the level the organization's mission demands. Events and convenings is a core capability so whether its internal meetings or major events, the Office and Events Coordinator has an opportunity to take our work to the next level.

Requirements

  • High school diploma or a General Education Development (GED) certificate, at minimum, required.
  • 1+ years of experience in office management, operations, event coordination, or a comparable operations role.
  • Demonstrated ability to manage multiple projects and timelines simultaneously without losing accuracy
  • Ability to represent GBC with CEO-level executives with a service mindset, professionalism and discretion
  • Strong written and verbal communication skills — able to be direct and professional in equal measure
  • Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel); experience with Salesforce, SharePoint, or Monday.com is a plus
  • Comfort with, and enthusiasm for, technology — learning new tools quickly with a growth mindset for continuous improvement
  • Ability to handle sensitive information with confidentiality
  • Experience working in a dynamic and fast-paced environment

Responsibilities

  • Own the day-to-day operations of GBC's office: front-of-house, phone calls, vendor relationships, supplies, facilities coordination, and a professional environment that reflects the organization's brand
  • Coordinate with vendors for repairs, cleaning, security, laundry, printers, name badges, etc.
  • In collaboration with the Sr. Operations Manager, manage the GBC organizational calendar — coordinating across teams, avoiding conflicts, and maintaining accuracy
  • Build and own operational processes that create consistency and reduce dependencies on individual staff knowledge.
  • Coordinate cross-functionally to support preparation, logistics, and follow-though for meetings, retreats, team building activities, conferences, and events.
  • Leverage technology tools and support quality data capture in GBC’s core systems, supporting GBC’s technology transformation roadmap (i.e. Salesforce, SharePoint, Monday.com);
  • Create, manage and continuously improve routine administrative workflows with accuracy and timeliness
  • Other duties as assigned, including handling general administrative tasks, i.e. credit card reconciliation, email correspondence, and administrative support.
  • Partner with the Director of Events—in end-to-end execution of events, including the operational details that make events run smoothly
  • Manage vendor sourcing and tracking for events: caterers, photographers, venue rentals, and AV — getting quotes, managing timelines, and coordinating delivery
  • Conduct site visits, take measurements, and capture documentation that enables smart venue and layout decisions
  • Own event registration: RSVP tracking, data integrity, name badge production, and on-site registration execution
  • Develop and maintain event run-of-show documents, logistics checklists, and post-event wrap-up protocols
  • Support pre- and post-event sponsorship management, as well as communications coordination with the Communications and Partnerships team.
