About the position

The Office Administrator at Pike Industries, Inc. plays a crucial role in supporting the Contracts Manager and ensuring the smooth operation of contract-related tasks. This position involves utilizing accounting software and Microsoft Office Suite to manage project documentation, billing, and job closeouts, contributing to the overall efficiency of the operations team.

Responsibilities

  • Assist Contracts Manager with all contract requirements including contract preparation and subcontract documentation.
  • Utilize accounting software systems and Microsoft Office Suite applications daily.
  • Collaborate with the team to prepare project estimates for import to the accounting system and manage the job lifecycle from setup to closeout.
  • Review billing estimates for quantity discrepancies and prepare job billings to customers.
  • Process subcontract payment sheets and submit them for approval.
  • Coordinate and track quantities/coverslips for all prime contracted work.
  • Review and reconcile hot mix asphalt tons, verify, and submit ticket changes for data entry.
  • Organize and maintain proper documentation within project files.
  • Provide office management and support to the operations team as necessary.

Requirements

  • Experience in contract administration or office management.
  • Proficiency in accounting software and Microsoft Office Suite applications.
  • Strong organizational skills and attention to detail.
  • Ability to collaborate effectively with team members.
