About The Position

This position serves as the initial point of contact for telephone inquiries regarding patients in the Emergency Department (ED) and forwards them appropriately. The role involves providing customer service via telephone and in person, addressing patient status and other questions from families, and assisting them with contacting social services, chaplains, health benefits advisors, or patient administration personnel. Responsibilities include creating pre-admission charts, completing electronic reporting, correcting admission errors, and compiling ED patient charts post-discharge. The clerk will also answer calls from recently discharged patients, enter doctor's orders, retrieve lab data, and forward urgent reports. Close collaboration with the charge nurse is required for patient tracking, flow, and disposition plans, as well as updating status boards and initiating telephone pages. Patient registration activities, including DEERS verification, ETR initiation and closure, updating patient data, and completing insurance paperwork, are also key duties. The role involves communicating confidential medical information to patients and families and registering patients at the bedside when necessary. Administrative tasks include preparing reports, operating office equipment, and tracking laboratory orders and results. Attending training and meetings to maintain skills is also required.

Requirements

  • At least six (6) months of experience in a medical office setting.
  • Must be a fully qualified typist with a minimum of 50 WPM.
  • Requires general medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • Requires general office administrative and clerical skills.
  • Ability to communicate effectively both orally and in writing.
  • Ability to operate computerized programs to enter, modify, and retrieve information in electronic medical records.
  • Must be a U.S. citizen (no foreign passport holders).
  • Must be able to pass a Tier 3 background investigation and a Childcare Background Check (CBC), including fingerprint cards for each state of residence.
  • Must complete a health examination and immunization screening (to include TB, Hepatitis B, and varicella) on the required DHA Contracted Health Care Worker form prior to performance.

Responsibilities

  • Serve as the initial point of contact for telephone inquiries regarding patients in the Emergency Department (ED) and forwarding appropriately.
  • Provide customer service by telephone and in person regarding patient status and other questions from patients' families while visiting or calling the ED, and assisting patients and family members with contacting social services, chaplains, health benefits advisors, or patient administration personnel.
  • Create pre-admission charts and complete the process in the electronic reporting systems; correct admission errors; and compile ED patient charts, including Emergency Treatment Records (ETRs), dictations, and nursing notes, after patient discharge.
  • Answer calls from patients recently discharged from the ED with questions regarding their treatment.
  • Enter doctor's orders for lab and x-ray tests, retrieve lab data via the medical information system, and forward urgent lab reports to the staff physician.
  • Work closely with the charge nurse regarding patient tracking, patient flow, and disposition plans; update patient tracking and status board displays; and initiate, track, and forward telephone pages for on-call services and staff.
  • Perform patient registration activities in coordination with the Triage Nurse, including Defense Enrollment Eligibility Reporting System (DEERS) verification, initiating and closing out the Emergency Treatment Record (ETR), updating patients' personal data in the electronic health system, and initiating and completing Third Party Payer (medical insurance) paperwork.
  • Communicate directly with patients and family members regarding personal and confidential information, including medical conditions, and register patients at the bedside when they are physically unable or medically unstable to register in the Triage/Registration area.
  • Prepare and file weekly and monthly reports, operate facsimile and photocopy equipment, and perform administrative follow-up and tracking of reference laboratory orders, results, and reports in Government systems.
  • Attend and participate in training and meetings to maintain skills.
