About The Position

The Marketing Operations Specialist is a collaborative role within the marketing team, working closely across pillars to enable operational excellence, ensuring process efficiency, and contributing to the implementation of agile ways of working. The Marketing Operations Specialist plays an integral part in the smooth execution of marketing activities by managing specific tasks, coordinating with cross-functional teams, and ensuring adherence to established processes. The Marketing Operations Specialist works on supplier management, operational projects, and cross-team initiatives, including registration briefing and management, app briefing, and signage. This role ensures that marketing teams are equipped to deliver impactful campaigns and projects effectively.

Requirements

  • Foundational experience in marketing operations or a similar role, with knowledge of budget tracking, process enablement, and cross-team coordination.
  • Strong organizational and project management skills, with the ability to manage multiple tasks and priorities effectively.
  • Familiarity with supplier management processes, including onboarding and contract management.
  • A data-driven mindset with the ability to track and report on operational performance metrics.
  • Excellent collaboration and communication skills, with experience working closely with cross-functional teams.
  • Adaptability and comfort working in a fast-paced, dynamic environment with shifting priorities.
  • A proactive and detail-oriented approach to contributing to team success.

Responsibilities

  • Collaborate with the leads across Commercial, Attendee and Content & Audience to track and manage budgets across marketing pillars, ensuring accurate reporting and alignment with strategic priorities.
  • Contribute to the strategy cycle planning process by coordinating timelines, deliverables, and cross-team collaboration to align with organizational goals.
  • Provide regular updates on budget tracking and highlight opportunities for optimization.
  • Work with the marketing team to safeguard marketing processes by ensuring adherence to established workflows and frameworks.
  • Support the embedding of agile ways of working by contributing to iterative planning, adaptability, and collaboration across teams.
  • Identify and recommend process improvements to enhance efficiency and enable teams to deliver high-quality outputs.
  • Coordinate supplier management tasks, including onboarding, contract management, and adherence to procurement processes, in collaboration with the Marketing Operations Manager.
  • Act as a point of contact between Group Marketing Procurement, suppliers, and marketing teams, ensuring alignment with project needs and timelines.
  • Monitor supplier performance and provide feedback or recommendations to the Marketing Operations Manager for further action.
  • Work with digital operations and operations teams to enable key projects, including registration briefing and management, app setup, and signage coordination.
  • Manage deliverables as part of the marketing barter agreements across the portfolio, ensuring alignment with project goals.
  • Act as a central point of coordination for cross-functional initiatives, ensuring timely delivery and alignment with broader marketing goals.
  • Contribute to the implementation of tools and systems that enhance operational efficiency and project delivery.
  • Build strong relationships across teams to ensure alignment on shared goals and priorities.
  • Provide guidance and support on processes and tools to enable teams to work effectively and efficiently, ensuring consistency in workflows.
  • Contribute to the establishment and monitoring of KPIs for marketing operations, including process adherence, budget utilization, and project delivery timelines.
  • Analyze operational performance data and share insights with the Marketing Operations Manager to identify trends, opportunities, and areas for improvement.
  • Prepare regular updates and reports to highlight operational successes and areas for optimization.
