About the position

Adams and Reese LLP is seeking a highly skilled and experienced Litigation Legal Assistant to support the litigation department. The role requires a minimum of 5 years of experience, particularly in commercial, construction, and bankruptcy litigation. The Legal Assistant will be responsible for managing legal documents, coordinating trial preparations, and maintaining communication with clients and court personnel.

Responsibilities

  • Complete understanding of the litigation process.
  • Prepare and format briefs, pleadings, correspondence, and other legal documents.
  • Accurately calendar deadlines.
  • Regularly and accurately proofread all documents to ensure accuracy and completeness before distribution or filing.
  • File legal documents with state and federal courts (electronic and traditional filings).
  • Mail, fax, copy, and/or arrange for delivery of documents to clients, witnesses, opposing counsel and court officials.
  • Coordinate and participate in document production.
  • Assist with trial preparation including preparation of trial books and exhibits.
  • Communicate with clients, court personnel, experts, attorneys and others via telephone, email, in person, and in writing, obtaining and giving information as directed.
  • Update and maintain client files electronically in the document management system.
  • Maintain attorney calendars through Outlook (i.e. scheduling appointments, calendaring due dates, etc.).
  • Prepare and process conflict checks and new client/matter requests.
  • Accurately enter, review and revise timekeeper time entries including consistent identification of litigation codes, when applicable.
  • Prepare expense reimbursement requests for assigned attorneys.
  • Review and ensure the accuracy of vendor invoices; prepare accurate check requests and timely submit invoices for payment to clients or accounting.
  • Participate in the timely review and submission of pre-bills and/or client bills.
  • Enter and maintain attorneys' time sheets, as required.
  • Perform related duties as assigned.

Requirements

  • Minimum of 5 years of experience as a litigation legal secretary.
  • Strong skills in MS Outlook, Word, and Excel; familiarity with PowerPoint.
  • Ability to accurately format documents that adhere to firm standards for format, style and quality.
  • Georgia state and federal court filing experience (manual and electronic).
  • Excellent spelling, punctuation and grammar required and knowledge of legal terminology.
  • Ability to type 65 wpm.
  • Competent in the use of computers and Microsoft Office.
  • Excellent organizational skills and people skills.
  • Ability to effectively communicate both orally and in writing.

Nice-to-haves

  • Bachelor's Degree preferred.
  • Paralegal skills.
  • Knowledge of creditors rights and bankruptcy procedures and terminology.
