About the position

The Legal Assistant/Client Service Representative at Katrina Cox Law LLC is a part-time role focused on providing exceptional support to clients in the areas of Estate Planning and Real Estate law. The position involves managing client communications, assisting with legal documentation, and performing administrative tasks while maintaining a flexible work schedule.

Responsibilities

  • Receiving initial intake calls from estate planning clients and scheduling consultations and signing appointments.
  • Serving as the primary point of contact for estate planning clients, addressing inquiries and providing updates on case progress.
  • Opening estate planning files and transferring information from client completed questionnaires into the file.
  • Assisting with drafting estate planning documents.
  • Assisting with ordering surveys and HOA documents for real estate transactions.
  • Assisting with drafting real estate closing documents.
  • Acting as the main point of contact between lenders on real estate transactions to follow up on deadlines.
  • Setting up files for real estate transactions.
  • Maintaining proficiency in Microsoft Word and Clio Legal software.
  • Providing administrative support as needed, including scheduling appointments and managing correspondence.
  • Managing social media and event marketing, including creating content for event advertising and newsletters.

Requirements

  • Bachelor's degree or equivalent experience in a related field for a minimum of 2-3 years.
  • Knowledge of Estate Planning and Real Estate law is a must.
  • Familiarity with Clio document management system and Microsoft Office programs is a plus.
  • Experience with Canva or other marketing flyer platforms.
  • Strong knowledge of social media platforms such as YouTube, Instagram, and Facebook.
  • Strong communication skills with a friendly demeanor.
  • Excellent organizational skills with attention to detail.
  • Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
  • Strong interpersonal skills with the ability to build rapport with clients and colleagues.
  • Previous experience in a client services and legal support role is advantageous.

Nice-to-haves

  • Experience in social media marketing and content creation.
  • Familiarity with event marketing and advertising.
