About The Position

Whiteford is seeking a detail-oriented, proactive, and highly organized Legal Administrative Assistant (LAA) to join its Richmond office. This position will provide dedicated in-office support to several litigation-focused attorneys. The LAA will assist with a broad range of civil matters, ranging from traditional civil litigation to regulatory compliance, administrative law, government investigations, and disputed land use matters, all in a collaborative, growth-oriented, and fast-paced law firm environment. This is an excellent opportunity for an experienced legal administrative professional who thrives in a sophisticated practice setting, exercises sound judgment, and manages multiple priorities with accuracy, professionalism, and discretion. The ideal candidate will have three (3) to five (5) years of law firm experience, preferably supporting litigation, regulatory, administrative law, or land use practices, and the demonstrated ability to effectively assist several attorneys simultaneously. The successful candidate will be resourceful, organized, technically proficient, and committed to collaborating with and delivering exceptional service to attorneys, clients, and colleagues.

Requirements

  • Substantial legal administrative assistant, legal secretary, or legal practice assistant experience required; 3-5 years of experience in a law firm environment preferred.
  • Litigation experience and familiarity with electronic court filing systems required; experience supporting regulatory compliance, administrative law, government investigations, and/or land use matters preferred.
  • Knowledge of court rules, legal terminology, and litigation document preparation.
  • Strong proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Excellent proofreading, formatting, organizational, and time-management skills.
  • Ability to prioritize competing deadlines and work efficiently in a fast-paced environment supporting multiple attorneys.
  • Strong communication skills and a professional, client-service oriented demeanor.
  • High level of attention to detail, discretion, and reliability.
  • Ability to work both independently and collaboratively as part of a team.

Nice To Haves

  • Experience with document management systems, billing systems, and legal administrative processes preferred.

Responsibilities

  • Preparing, editing, proofreading, and finalizing pleadings, correspondence, discovery materials, regulatory filings, administrative submissions, and other legal documents.
  • Assisting with court filings, including electronic filings in state and federal courts, as well as filings before administrative agencies and regulatory bodies.
  • Maintaining attorney calendars, scheduling meetings, coordinating conference calls, and managing litigation, regulatory, and administrative deadlines.
  • Coordinating travel arrangements, expense reports, time entry, and monthly billing activities.
  • Managing and organizing electronic and paper files, including document management systems and case materials.
  • Assisting with preparation of binders, exhibits, deposition materials, hearing materials, trial materials, land use applications, and other case-related documents.
  • Supporting attorneys in matters involving civil litigation, including civil appeals, as well regulatory compliance, administrative law proceedings, government investigations, and disputed land use matters.
  • Communicating professionally with clients, courts, administrative agencies, opposing counsel, government representatives, vendors, and internal team members.
  • Supporting attorneys with administrative and practice management tasks to ensure efficiency and responsiveness.
  • Providing proactive support by anticipating attorney and client needs and helping manage competing priorities effectively.
