About the position

The leave of absence specialist position will play a critical role in managing employee leave, accommodations, and benefits administration. This position is primarily remote but requires attendance at monthly in-office meetings in Central office located in New York City. Additional in-person team meetings may be required from time to time.

Responsibilities

  • Serve as the subject matter expert on leave policies, ADA accommodations, and workers' compensation, ensuring compliance with federal and state regulations as well as internal policies.
  • Work closely with HR leadership, third-party leave administrators, payroll, and staff supervisors to facilitate smooth leave processes, support employees through the accommodations process, and provide clear guidance on benefits enrollment and administration.
  • Manage all leave of absence (FMLA, STD, LTD, State Benefits, Workers' Compensation) and ADA requests.
  • Maintain appropriate contact with all relevant staff on leave and coordinate all aspects of return to work for staff on leave.
  • Provide regular updates to HR Business Partner and staff supervisors on leaves and accommodations while adhering to HIPAA and other privacy laws.
  • Manage all administrative aspects of leave and workers' compensation claims, including response to leave vendor information requests.
  • Assist with open enrollment and ensure staff are accurately enrolled in all voluntary and ancillary benefits.
  • Resolve employee issues with insurance providers.
  • Assist in developing benefits training for managers and staff.
  • Assist with developing/improving formal leave policies and procedures.
  • Develop leave reporting dashboard for HR and Management.
  • Provide ongoing support for the HR and Benefits Teams.
  • Other duties as assigned by supervisor on an as needed basis.

Requirements

  • 3-5 years of experience managing and administering employee leave programs.
  • Strong skillset in Microsoft Excel and PowerPoint; familiarity with SmartSheet is a plus.
  • Strong attention to detail.
  • Comfortable interacting with employees via email and phone.
  • Prior experience with Workday HRIS.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements.
  • Strong communication, interpersonal, and organizational skills.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple projects and deadlines.
