About the position

The Lead Mail Clerk position at the Jesse Brown VA Medical Center in Chicago, IL, serves as a pivotal role within the Logistics Management Service. This position is responsible for leading the mail team, providing guidance and technical direction to ensure that all mail support functions and services are executed efficiently. The Lead Mail Clerk will oversee the work assignments of the mail staff, ensuring that tasks are completed in a timely manner while assisting management in the implementation, direction, and coordination of mail support functions and activities that traverse various functional areas. In this role, the Lead Mail Clerk will navigate standalone digital meter equipment operations and utilize postal computer systems to manage mail processes. The position requires establishing and monitoring mail routes, managing internal mail processes, and ensuring the safety and security of the mail center. The Lead Mail Clerk will also be responsible for the pickup and delivery of mail from the U.S. Post Office, processing and sorting incoming and outgoing mail, and logging the delivery of important packages and letters. Additionally, the Lead Mail Clerk will interact with external contacts, including UPS, FedEx, and private courier companies, to facilitate deliveries and shipments. The role involves operating mailroom equipment, maintaining records, and assembling weekly and monthly mail reports. The Lead Mail Clerk will also be responsible for maintaining equipment, such as changing toners and removing paper jams, and performing other related duties as required. This position is not virtual and requires a full-time commitment with a travel expectation of 25% or less.

Responsibilities

  • Lead the mail team and provide guidance and technical direction.
  • Ensure work assignments of mail staff are accomplished.
  • Assist management in implementing, directing, and coordinating mail support functions and services.
  • Navigate standalone digital meter equipment operations and postal computer systems.
  • Manage relationships with U.S. Postal Service and other couriers.
  • Establish and monitor mail routes.
  • Control internal mail processes including tracking and managing incoming/outgoing mail.
  • Ensure mail center safety and security, including mail distribution systems.
  • Pickup and deliver mail from the U.S. Post Office.
  • Process and sort mail including registered, certified, insured, and next day delivery items.
  • Log delivery of important packages and letters.
  • Interact with external contacts for deliveries and shipments.
  • Operate mailroom equipment and maintain records.
  • Assemble weekly and monthly mail reports.
  • Maintain equipment and perform related duties as required.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Selective Service Registration is required for males born after 12/31/1959.
  • Must be able to serve a probationary period if required.
  • Subject to background/security investigation.
  • Experience tracking, coordinating, updating, editing, compiling, and maintaining files and records.
  • Clerical and administrative skills such as records management.
  • Skill in using computer applications for functions such as word processing, spreadsheets, and database management.
  • Skill in time management, multi-tasking, and organization.
  • Communication and interpersonal relation skills sufficient to interact with internal and external customers.
