About The Position

The Western Pennsylvania School for Blind Children (WPSBC) is seeking an IEP Coordinator to join their team. Located in Pittsburgh, PA, WPSBC is a unique educational institution dedicated to empowering students with visual impairments to reach their full potential. The school also offers early intervention and outreach services across western Pennsylvania. Founded in 1887, WPSBC is a private institution chartered by the Commonwealth of Pennsylvania, serving approximately 200 students from 80-85 school districts.

Requirements

  • Associate’s Degree
  • Post secondary training in a related area is preferred.
  • Must possess skills for efficient office management
  • Use of computers with experience in a variety of software such as Microsoft Windows and Office 365 is essential
  • Must hold proper clearances for Acts 34, 114, and 151.

Responsibilities

  • Serve as the liaison between WPSBC, local school districts, Intermediate Units, families, and outside agencies as it relates to the IEP and special education process.
  • Perform duties in support of the department, including telephone/email correspondence, filing, mailing, document preparation, and general office support.
  • Update and maintain HCSIS, IEP Writer, and related systems with pertinent student and compliance information under the direction of the Education Director.
  • Coordinate IEP, New Admission, and related student meetings with families, staff, school districts, and Intermediate Units, including preparation and distribution of required documents.
  • Schedule and coordinate IEP, admissions, and related student meetings in accordance with state and federal timelines to maintain compliance.
  • Collaborate with the Education Director regarding scheduling, calendar management, timeline monitoring, and ongoing updates to support compliance and departmental coordination.
  • Maintain and update departmental calendars, meeting schedules, rosters, and shared planning documents to support program operations.
  • Update PowerSchool with school related student information.
  • Create and maintain folders in SharePoint (student files, teacher schedules, school year documents, rosters, IEP date lists).
  • Assist the Education Director with Paycom, attendance tracking, staff documentation, and related departmental systems.
  • Assist in the planning and coordination of departmental events, meetings, trainings, and leadership initiatives.
  • Maintain organized electronic and paper student records in accordance with confidentiality requirements and regulatory expectations.
  • Maintain confidentiality with sensitive student, family, staff, and evaluation information.
  • Organize and maintain mailboxes in JSB mailroom.
  • Perform additional duties as assigned by the Education Director or Administration.
  • Manage the VisAbilities Clinic calendar, appointments, and evaluation scheduling process.
  • Serve as the primary point of contact for prospective clinic families, including responding to phone calls, emails, and evaluation inquiries.
  • Coordinate the clinic intake process, including intake forms, appointment packets, required documentation, and family communication.
  • Prepare, organize, and maintain clinic records, including SharePoint folders, spreadsheets, intake documentation, and evaluation files.
  • Coordinate and track Comprehensive Developmental Assessments (CDAs) and Functional Vision Evaluations (FVEs), including communication with evaluation teams regarding timelines, report completion, and required documentation.
  • Format, prepare, and finalize clinic evaluation reports on WPSBC letterhead and coordinate report signatures and distribution to families.
  • Communicate with evaluation teams regarding outstanding report sections and timelines to support timely completion of evaluations.
  • Prepare and distribute clinic correspondence, appointment materials, evaluation reports, and supporting documentation.
  • Maintain confidentiality with sensitive student, family, staff, and evaluation information.
  • Perform additional duties as assigned by the Education Director or Administration.
