About The Position

Orgenesis is seeking a highly organized and detail-oriented Human Resources Assistant to support the Human Resources department in delivering efficient and professional HR services across the organization. The Human Resources Assistant will provide administrative support for recruitment, onboarding, employee records management, benefits administration, training coordination, and employee relations activities. This role requires strong organizational skills, confidentiality, and the ability to work effectively in a dynamic biotechnology environment. The ideal candidate will be passionate about supporting employees, maintaining accurate records, and contributing to a positive workplace culture while helping advance Orgenesis' mission of improving access to cell and gene therapy solutions worldwide.

Requirements

  • High School Diploma or GED required.
  • 1–3 years of administrative, human resources, recruiting, or office support experience preferred.
  • Experience handling confidential employee information.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong data entry and record management skills.
  • Ability to learn new HR software and systems quickly.
  • Excellent verbal and written communication skills.
  • Professional interpersonal and customer service abilities.
  • Strong active listening skills.
  • Ability to interact effectively with employees at all organizational levels.

Nice To Haves

  • Associate degree in Human Resources, Business Administration, Management, or related field preferred.
  • HR certification coursework is a plus.
  • Prior experience in healthcare, biotechnology, pharmaceutical, or regulated industries is beneficial.
  • Experience with Human Resource Information Systems (HRIS) preferred.
  • Associate or Bachelor's degree in Human Resources, Business Administration, or related discipline.
  • Experience supporting recruitment and onboarding processes.
  • Knowledge of employment laws and HR best practices.
  • Familiarity with benefits administration and HR compliance requirements.
  • Professional certification such as SHRM-CP or PHR is a plus.

Responsibilities

  • Provide daily administrative support to the Human Resources department.
  • Maintain and update employee personnel files and HR databases.
  • Process employment-related documentation including new hire paperwork, status changes, and terminations.
  • Ensure employee records remain accurate, complete, and confidential.
  • Prepare HR reports, correspondence, and documentation as required.
  • Assist with maintaining HR policies, procedures, and employee handbooks.
  • Assist with posting job openings on company and external job boards.
  • Screen resumes and applications for minimum qualifications.
  • Schedule interviews and coordinate communication with candidates.
  • Conduct reference checks and employment verification as needed.
  • Support hiring managers throughout the recruitment process.
  • Assist with preparing offer letters and onboarding documentation.
  • Coordinate new hire onboarding activities and orientation programs.
  • Prepare employee welcome packages and onboarding materials.
  • Ensure completion of required employment forms and compliance documentation.
  • Facilitate introductions between new employees and departments.
  • Assist in creating a positive onboarding experience for new hires.
  • Support employee benefits enrollment and changes.
  • Respond to employee inquiries regarding health insurance, retirement plans, and company benefits.
  • Coordinate communication with benefits providers and vendors.
  • Maintain accurate benefits records and documentation.
  • Assist with annual open enrollment activities.
  • Respond to routine employee questions regarding policies and procedures.
  • Assist with employee engagement and recognition programs.
  • Support HR initiatives that promote a positive workplace culture.
  • Maintain confidentiality regarding employee matters.
  • Escalate sensitive employee concerns to Human Resources management.
  • Coordinate employee training schedules and registrations.
  • Maintain training records and certifications.
  • Assist in organizing workshops, seminars, and professional development programs.
  • Track mandatory training completion and compliance requirements.
  • Ensure compliance with federal, state, and local employment regulations.
  • Assist with audits of employee records and HR processes.
  • Maintain compliance with company policies and employment laws.
  • Support document retention and records management programs.
  • Help prepare documentation for regulatory and compliance reviews.
