About the position

The Human Resource Staffing Administrative Admin position at Levy Sector involves supporting the food and beverage operations team by managing data entry, staffing, and scheduling. The role is crucial for ensuring that operational data is accurately maintained and that the team is effectively scheduled, contributing to the overall success of the concessions and premium service areas.

Responsibilities

  • Answer telephones and direct inquiries in a professional and client-centric manner.
  • Maintain confidential personnel files.
  • Assist management staff in preparing confidential employment and labor relations documents, including proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Accurately enter and update data related to food and beverage inventory, sales, and employee hours.
  • Assist with inventory tracking, order processing, and monitoring food and beverage stock levels.
  • Support operational scheduling for concessions and premium services, coordinating shift changes and ensuring adequate coverage.
  • Assist with administrative tasks related to health and safety compliance in food service areas.
  • Aid in managing and updating the staffing schedule for food and beverage team members, ensuring optimal coverage based on operational needs.
  • Communicate shift assignments, changes, and updates to staff in a timely manner.
  • Support onboarding and maintain employee records, including training, availability, and attendance.
  • Provide administrative support such as document filing, scanning, and managing team communications.
  • Assist with preparing HR-related documents, processing payroll adjustments, and handling attendance records.
  • Collaborate with food and beverage management to address any urgent staffing or scheduling needs.
  • Maintain organized digital and physical records for quick reference and reporting purposes.
  • Generate reports on inventory, sales, and staffing metrics as needed for both operations and HR.
  • Maintain clean and safe work environment; ability to perform job safely.
  • Perform other duties as assigned.

Requirements

  • 1+ years of experience in data entry, administrative support, or food and beverage operations.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of scheduling software or point-of-sale (POS) systems is an advantage.
  • Strong organizational skills and high attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Excellent verbal and written communication skills, with a professional and service-oriented approach.
