About the position

The HR Payroll Specialist is responsible for maintaining and processing payroll records and reports, providing support to the payroll function and the HR department. This role involves interacting with employees, students, and department heads, ensuring accurate payroll processing for hourly and student employees, and assisting with various payroll-related tasks and inquiries.

Responsibilities

  • Process time records and payment for all hourly employees, ensuring accuracy and appropriate authorization.

  • Assist with the setup, maintenance, and modification of approvers in web-time entry.
  • Send campus announcements regarding changes to payroll dates and deadlines.
  • Prepare manual payments for special circumstances such as involuntary termination or ACH bank returns.
  • Communicate with department supervisors and employees regarding late or missing timesheet submissions.
  • Assist with payroll adjustments including insurance premiums and paid leave.
  • Compile payroll data such as garnishments, vacation time, and deductions.
  • Assist campus personnel and student employees with payroll-related inquiries.
  • Prepare and submit Federal and State taxes.
  • Develop and update payroll calendars for web-time entry annually.
  • Research international tax treaties and assist international student employees with tax forms.
  • Organize and distribute annual W-2's and 1095C's.
  • Manage annual billing for retiree life insurance premiums and prepare bank deposits.
  • Perform various payments and journal entries, and provide General Ledger support for payroll deductions.
  • Coordinate with the State of Missouri on workers compensation reports and claims.
  • Update tax forms for employees claiming exempt status annually.
  • Assist with reconciliation of work-study grant expenditures.
  • Review student employees for FICA exempt status during summer sessions.
  • Update systems after open enrollment for benefits changes.
  • Cross-train for complete payroll process in absence of Payroll Manager.
  • Monitor reports to ensure ACA guidelines are met regarding hours worked.
  • Respond to Division of Employment Security requests and correspondence.
  • Assist in electronic file maintenance for payroll and HR documents.
  • Serve as backup for HR Coordinator & Purchasing Specialist.
  • Assist in general HR tasks and support as needed.

Requirements

  • High School diploma or GED required.
  • One-year certificate in secretarial/office management from an accredited college or technical school, or one to two years related experience and/or training preferred.
  • Payroll and/or bookkeeping skills and experience preferred.
  • Ability to read and comprehend simple instructions and correspondence.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations.
  • Ability to perform basic mathematical operations and compute rates, ratios, and percentages.
  • Ability to define problems, collect data, and draw valid conclusions.
  • Ability to effectively communicate orally and in writing.
  • Advanced experience with Microsoft Excel and skills in developing spreadsheets and databases.

  • Knowledge of tax regulations and compliance related to payroll.
