About The Position

The Hospitality Sales Coordinator is the initial contact for guests seeking group lodging and/or restaurant accommodations. The coordinator will assist guests with inquiries by receiving phone calls, emails and responding to internet leads. The coordinator will make recommendations for lodging or restaurant outlets based on client’s budget, quote lodging accommodations and provide receipts when necessary. The coordinator must be able to perform light accounting.

Requirements

  • High School Diploma or equivalent
  • At least 2 years administrative assistant experience
  • Must be proficient in Microsoft Office
  • Able to effectively communicate in English in both written and oral forms.
  • Strong interpersonal and communication skills
  • Professional and courteous phone etiquette
  • Must be able to handle a heavy business volume and multitask responsibilities and guest problems in a timely manner.
  • Must be able to tolerate areas containing secondhand smoke.
  • Must be able to lift and carry 10 pounds.
  • Must be able to bend, crouch, kneel, twist and work at a desk/counter when performing functions of the job.
  • Respond to visual and aural cues.
  • Must have manual dexterity to operate all office equipment.
  • Must be able to maneuver around office and property.

Responsibilities

  • Answer phones, emails, and web leads; respond to all guest inquiries within 24–48 hours.
  • Check voicemails and return calls promptly with courteous communication.
  • Maintain current knowledge of property, entertainment, restaurant, and lounge offerings.
  • Complete tasks as assigned by Senior Sales Manager, Director, or Vice President.
  • Assist with site selections, inspections, tastings, and pre-con meetings for group events.
  • Quote lodging trips and room types using LMS and other programs; maintain accurate reporting.
  • Keep detailed, organized records of client/guest trips and functions.
  • Attend departmental meetings and coordinate assigned group bookings.
  • Adhere to restaurant rules and operational parameters.
  • Provide courteous, respectful guest relations in line with Caesars Entertainment standards.
  • Assign leads to Sales Managers on a rotating basis.
  • Perform administrative duties (copying, scanning, filing BEOs and paperwork).
  • Pull daily receipts from Avero.
  • Manage meal voucher sales, creation, and distribution.
  • Support Senior Manager/Director with daily lists, email responses, and bookings (contracts, menus, BEOs, Delphi/Prohost, Tripleseat).
  • Maintain and update contact lists, cheat sheets, and operational tracking lists (Casino Hosts, DMCs, Chapels, comp codes, etc.).
  • Order office supplies as needed.
  • Prepare and distribute 14-day forecasts for all properties.
  • Assist guests with buffet bookings (20 or fewer) and late additions.
  • Maintain memberships and updates for industry-related resources and websites.
  • Balance P-Card and submit monthly receipts.
  • Ensure all work is detailed, accurate, and organized.
