About the position

The Program Coordinator supports hospital-based practices in Palliative care, Hospitalist, and Emergency Medicine, working Monday through Friday from 8 am to 4:30 pm in Concord, NH. Under the general direction of the Practice Administrator, the Program Coordinator coordinates with other departments, outreach, and affiliate members as needed. The role involves organizing and producing the overall master section schedule for multiple sections and/or departments, ensuring appropriate coverage for all areas identified, and preparing it for input into the scheduling system. The coordinator publishes, distributes, and maintains the schedule while determining the best options during short staffing periods to provide necessary coverage. Additionally, the coordinator tracks and maintains time-away requests, adjudicates conflicts, and raises issues to the appropriate administrative person.

Responsibilities

  • Maintains the master schedule, making necessary changes as they occur and determines best options during short staffing periods to provide necessary coverage.
  • Identifies potential staffing problems and resolves them as appropriate or raises issues to the appropriate leader.
  • May assist with timekeeping functions by maintaining absenteeism, tardiness and other attendance records and staffing statistics.
  • Demonstrated proficiency in Microsoft Excel required.
  • Performs other duties as required or assigned.
  • Provides administrative support to the Practice Administrator on projects or assigned tasks.

Requirements

  • High School Diploma required.
  • Experience working in a medical setting, or the equivalent in education and experience required.
  • Minimum of two years related experience preferred.
  • Familiarity with word processing techniques, database management, and medical terminology required.
  • Must be highly organized, with the ability to prioritize, function independently, and deal with multifaceted aspects of the medical profession.
  • Excellent interpersonal, written and verbal communication skills required.
  • Initiative, discretion and good judgment desired.

Nice-to-haves

  • Two years of formal training or education beyond the high school level (e.g., Associates Degree) preferred.
