About The Position

Position Overview: Heartview Foundation is seeking a detail-oriented and dependable professional to serve as a part-time Health Information Management (HIM) Coordinator. This position is responsible for maintaining the accuracy, security, and organization of patient health records while supporting compliance with organizational procedures and documentation standards. Part-Time: 20–24 hours per week Schedule will be determined collaboratively between the supervisor and employee based on departmental needs. Hours must be completed within the following office hours: Monday–Thursday: 7:45 AM – 5:00 PM Friday: 7:45 AM – 3:00 PM No weekends

Requirements

  • High school diploma, GED, or equivalent required.
  • Experience in medical records, health information management, or healthcare office support preferred.
  • Knowledge of Microsoft 365, Adobe, electronic health record systems, and strong keyboarding/data entry skills preferred.
  • Excellent verbal and written communication skills.
  • Ability to perform detailed tasks accurately and maintain confidentiality.
  • If in recovery, one must have achieved a period of sustained abstinence and be able to demonstrate successful rehabilitation and stability.
  • Qualified candidates must pass a background check and adhere to our drug-free workplace policy, which includes pre-employment drug and alcohol screening.
  • Staff must also respect professional boundaries, avoid conflicts of interest, and recognize the power differential that can exist not only between providers and clients but also among staff members.
  • Employees cannot be current participants in Heartview Foundation’s primary treatment programs.

Responsibilities

  • Maintain and update the electronic medical record system, ensuring accuracy and compliance.
  • Perform record processes for new assessments, admissions, transfers, and discharges.
  • Track completion of clinical documentation and notify staff of deficiencies.
  • Manage scanning, auditing, and secure destruction of paper records.
  • Oversee release of information processes, ensuring accuracy and compliance with procedures.
  • Process receipt of outside medical records and update patient files accordingly.
  • Assist with revising processes and procedures related to patient records.
  • Perform other duties as assigned.
