About the position

The Higher Education Administrative Assistant III at Rhode Island College plays a crucial role in supporting the Professional Studies and Continuing Education (PSCE) department. This position involves providing complex administrative support for various academic programs and services, ensuring efficient operations within the department, and assisting students, particularly working professionals, in managing their academic and career goals. The role requires proficiency in enterprise software systems and a strong ability to communicate effectively with faculty, staff, and students.

Responsibilities

  • Assist in the organization and maintenance of complex academic programs and services.
  • Utilize college enterprise software systems and various computer applications for administrative tasks.
  • Perform advanced clerical support functions related to grants and financial endeavors.
  • Maintain research/project files and provide high-level clerical support within the academic department.
  • Pre-audit and post financial information to an integrated financial system, ensuring accuracy and appropriateness of transactions.
  • Oversee operations of department-specific programs and manage supplies in compliance with purchasing regulations.
  • Coordinate with faculty to arrange special services for students, such as tutoring and disability services.
  • Gather and prepare academic and statistical reports from the data management system.
  • Create and manipulate advanced queries within the college's enterprise software system.
  • Make classroom reservations using the college's event management system.
  • Convey pertinent information to faculty, staff, students, and visitors.
  • Enter hours worked for biweekly work study student payroll.
  • Maintain electronic and paper records for the academic department.
  • Schedule faculty advising appointments and other events for the academic department chair and faculty.
  • Manage a P-Card and Travel Card as part of the budgeting process in the department.
  • Produce and present detailed reports on departmental key performance indicators.
  • Develop and maintain policies and procedures for the academic department.

Requirements

  • High school diploma or GED with college courses in computer information systems.
  • Experience in performing general office tasks of a complex nature in an academic setting.
  • Proficiency in enterprise software systems, word processing, and spreadsheets.
