About the position

The position involves maintaining medical records and performing clerical duties in a healthcare facility. The role ensures proper management of patient charts and compliance with information release guidelines, while also facilitating communication and scheduling within the facility.

Responsibilities

  • Answer telephones and route calls to the appropriate person.
  • Monitor and distribute incoming mail, both email and postal delivery.
  • Greet visitors and patients and conduct them to the appropriate location or person as needed.
  • Maintain inventory of facility supplies and replenish as needed, including ordering staff uniforms and name tags.
  • Compile and maintain medical records of both in-center and home patients according to company policies and regulatory requirements.
  • Ensure patient confidentiality is maintained at all times.
  • Store or dispose of obsolete files according to defined procedures and compliance regulations.
  • Assist with Daily Validation reports/process.
  • Coordinate facility accounts receivable and accounts payable functions, including creating POs and scanning relevant documents.
  • Prepare lab slips and tube labels for blood work.
  • Pack boxes for shipment to the appropriate laboratory.
  • Assist in collecting data for facility reports, such as Continuous Quality Improvement reports.
  • Assist with month-end reporting requirements and generate reports as needed.
  • Audit records for ongoing compliance with medical records standards.
  • Maintain accurate records of hospitalization and patient travel to facilitate scheduling and testing.
  • Prepare medical records for facsimile or mail related to travel, transplant, and disability.
  • Organize travel for patients by providing requested medical records.
  • Coordinate transient patient paperwork and transfer placements with the Clinical Manager.
  • Confirm admissions paperwork is completed and sent to designated departments.
  • Assist with medical appointment referrals and scheduling.
  • Assist with transportation coordination and referrals.
  • Scan medical records into the Document Imaging program as needed.
  • Ensure data entry is completed for government reporting related to ESRD.
  • Prepare and type routine correspondence and reports as needed.
  • Set up and maintain filing systems and basic databases.
  • Complete forms and reports required by various company offices and outside agencies.
  • Maintain facility calendar and daily schedule, including arranging meetings and scheduling appointments.
  • Record minutes of meetings and provide documentation as needed.
  • Make copies of correspondence and other documents as required by the manager.
  • Assist with various basic personnel and administrative functions as needed.
  • Act as a backup to other clerical staff in the office as needed.
  • Centrifuge blood or refrigerate according to laboratory specifications after the draw is completed.
  • Assist with laboratory work processes and post/enter lab results into the electronic database.

Requirements

  • High School Diploma required.
  • 0 - 1 year's related experience.
  • Computer skills, specifically knowledge of word processing applications.
  • Good communication skills, both verbal and written.
