About The Position

The Stein Collection is seeking a Group Reservations Coordinator to manage group rooming lists for the hotel. This role involves communicating with key group contacts regarding their room blocks and billing, sending out rooming list and pick-up reports, and verifying group billing setup. The coordinator will also prepare the final group master bill and assist with incoming reservation calls for both leisure and group guests. This position is crucial for ensuring smooth operations between Group Sales, Reservations, and the Front Desk.

Requirements

• High school diploma required.
• Ability to input information correctly into the computer (group booking, rooming list, etc.).
• Ability to provide accurate information.
• Ability to determine billing for rooms/individuals/groups.
• Ability to work Monday through Friday, 9am-5pm.

Nice To Haves

• Some college preferred.

Responsibilities

• Input and manage group rooming lists provided to the hotel.
• Communicate with key group contacts throughout the planning process regarding their room block and billing.
• Send rooming list and pick-up reports to group contacts as requested and required.
• Verify that billing for groups is set up properly.
• Prepare the final group master bill.
• Assist with incoming hotel reservation calls for leisure and group guests.
• Attend weekly sales meetings.
• Train new employees in the Reservations department.
• Act as a liaison between Group Sales and Reservations/Front Desk.
• Ensure a signed group block guarantee or rooming list is obtained.
• Assist in Reservations when needed.
• Assist in PBX.
• Block rooms when needed.
