About The Position

The State Library of North Carolina is seeking an enthusiastic Grants Assistant to join our team! The Grants Assistant supports the Federal LSTA Grant Program by performing record-keeping and reporting requirements of the program and monitoring grant recipient adherence to state and federal rules and regulations governing grant expenditures. This position works closely with the Federal Programs Consultant and the State Library’s Budget Officer to ensure accurate financial reporting and procedural compliance on all grants and serves as a point of contact for grant recipients throughout North Carolina.

Requirements

  • High school diploma or General Educational Development (GED) diploma and Four years of related administrative experience or Equivalent combination of education and experience.

Nice To Haves

  • Demonstrated experience with Microsoft Excel and/or specialized database systems such as grant management systems, Docusign and/or Adobe Acrobat.
  • Demonstrated experience working with grant funds
  • Demonstrated experience with state procurement and/or purchasing processes.
  • Demonstrated experience with travel requests and/or reimbursements
  • Demonstrated experience building and sustain effective working relationships with peers and/or colleagues.
  • Demonstrated experience working independently and as part of a collaborative team.

Responsibilities

  • Process, record, and track all grant-related documents, including applications, awards, agreements, reimbursement requests, and payments.
  • Maintain accurate and up-to-date records for the Federal LSTA Grant Program to ensure compliance with state and federal reporting requirements.
  • Monitor grant recipients’ adherence to applicable regulations and financial guidelines governing grant expenditures.
  • Collaborate closely with the Federal Programs Consultant and the Library’s Budget Officer to support accurate financial reporting and procedural compliance.
  • Serve as a primary point of contact for grant recipients, providing guidance, responding to inquiries, and supporting them throughout the grant cycle.
  • Organize, maintain, and retrieve grant-related data and documentation to support audits, evaluations, and program improvements.
  • Contribute to the Administration Section by supporting general administrative operations, participating as part of the administrative team, and assisting with office processes, communications, and departmental coordination as needed.
