About The Position

This individual will serve as a Genetic Counseling Assistant (GCA) supporting a multidisciplinary, cutting-edge research and clinical team focused on preventive genomics, risk communication, population health, and health outcomes research. The GCA will play an integral role in facilitating clinical and research activities by assisting with participant coordination, data and documentation management, communication workflows, and operational support across multiple projects and initiatives. This position offers a unique opportunity to gain hands-on experience at the intersection of genomic medicine, clinical research, and patient engagement within a highly collaborative academic medical environment. The ideal candidate will be exceptionally organized, detail-oriented, and capable of managing multiple priorities simultaneously in a fast-paced setting. Strong written and verbal communication skills are essential, as the role involves frequent interaction with research participants, clinicians, investigators, and external collaborators. Responsibilities

  • Coordinate administrative activities for research and clinical projects.
  • Maintain accurate research and clinical records and enter data into secure databases.
  • Prepare meeting materials, take meeting minutes, and assist with scheduling across multiple time zones.
  • Support development of research materials, including IRB submissions, grant applications, surveys, manuscripts, abstracts, posters, and presentations.
  • Conduct literature reviews and prepare concise written summaries.
  • Assist with organization of shared files, publication tracking, and reference library management.
  • Support patient intake, scheduling, and clinic coordination.
  • Assist with genomic testing coordination and clinic administrative duties under genetic counselor supervision.
  • Assist with participant recruitment and communication, consent processes, survey distribution and tracking, medical record review, interview coordination, study documentation, and follow-up activities.
  • Support study operations, troubleshooting workflow challenges, preparing presentations, and coordinating team communications.
  • Assist with recruitment outreach to potential study participants by phone and electronic communication methods.
  • Obtain consent for participation and import research information into study databases.
  • Distribute participant consent forms and surveys, send follow-up reminders, and distribute participant incentives.
  • Conduct condition-specific medical record reviews with appropriate guidance.
  • Schedule participant interviews and review transcripts, and record and distribute team meeting minutes.
  • Assist in the collection of study outcomes such as sending out study surveys and tracking to ensure optimal participation and response rates.
  • Assist the study genetic counselors to assure that participants receive proper return of results and follow-up.
  • Lead the passive recruitment aspect of the project, and assist with creating and maintaining the project regulatory binder and ensure other regulatory requirements are maintained.
  • Troubleshoot problems with the study project managers to work to produce solutions.
  • Assist with creating project presentations for internal and external audiences.
  • Lightly assist the project team in years 1 and 2 of this yet to begin project.
  • Join the project in more depth in Year 3 after recruitment is complete to assist with operations of the project under the direction of the mPIs and Project Manager.
  • Assist with coordinating project meetings, logistics for in-person meetings and travel, and with managing interviews of health care providers including scheduling, tracking, and transcribing, as needed.
  • Assist with survey administration and can serve as an additional point of contact for anything the Coordinating Center might need from our clinical group or clinical sites.
  • Assist the investigative team with preparatory work for writing manuscripts, such as conducting literature searches, maintaining a reference library, and designing figures and tables for dissemination of research findings.
  • Assist with management of the program website, newsletters, and social media platforms.
  • Help develop and revise digital and print communications materials.
  • Track website and media analytics and support outreach efforts.
  • Support donor relations and philanthropy initiatives.
  • Assist with preparation and distribution of program updates and fundraising materials.
