About the position

The Urology Front Desk position involves a variety of essential functions and basic duties aimed at providing excellent service to patients and visitors. The role requires greeting all patients and visitors in a caring and professional manner, collecting patient information at check-in, and managing appointment scheduling and confirmations. The front desk staff will also handle cash transactions, apply fees for missed appointments, and ensure that all patient information is accurately entered into the EPIC system. Additionally, the position involves answering incoming calls, directing them appropriately, and maintaining the cleanliness of the waiting area. Compliance with HIPAA and OSHA regulations is crucial, as is the ability to interact professionally with vendors, staff, and physicians. Participation in office meetings is also expected.

Responsibilities

  • Greets all patients and visitors in a caring and professional manner
  • Collects patient information at check-in including demographics, PCP, pharmacy, ID, insurance verification, and copays
  • Closes out cash drawer and counts change
  • Applies NO SHOW fee to patients who miss appointments
  • Confirms patients’ appointments using DAR and reschedules if necessary
  • Schedules all patient appointments according to established policy
  • Enters/Scans all current and new patient information into EPIC accurately
  • Answers all incoming telephone calls and determines the reason for the call
  • Directs telephone calls to the appropriate personnel promptly and courteously
  • Acts as backup for EPIC referral WQ’s
  • Properly distributes mail and packages
  • Maintains cleanliness of the waiting room
  • Complies with HIPAA policies and procedures ensuring confidentiality and patient privacy
  • Complies with OSHA rules and regulations
  • Interacts with vendors, staff, physicians, and visitors in a caring and professional manner
  • Attends and participates in all office meetings as scheduled

Requirements

  • High school diploma or GED
  • Customer service experience
  • Good communication skills
  • Bilingual in Spanish and English (preferred)
