About The Position

This position will work with the Advancement Officer and Associate Director, Foundation to develop and execute strategies to cultivate donors while ensuring confidentiality. Leads alumni on engagement opportunities that strengthen their relationships with the college and the foundation. Plans and executes events on behalf of the Foundation. Develops and oversees the database platforms with sensitive donor information. This position serves as an Associate Director of the Foundation.

Requirements

  • Bachelor’s degree
  • Minimum of 5 years administrative support experience in a fast-paced work environment
  • Knowledge of fundraising principles, marketing strategies and donor centered processes
  • Ability to simultaneously manage completing deadlines and multiple projects
  • Proven track record of successful project management and mid to large scale event production
  • Excellent computer skills including high level expertise with MS Office products, Constant Contact and donor databases
  • Excellent organizational and clerical skills
  • Demonstrated ability to work independently and to make independent decisions
  • Demonstrated ability to communicate effectively orally and in writing
  • Ability to coordinate complex activities with multiple parties, prioritize work and meet deadlines

  • Masters’ degree preferred

Responsibilities

  • Cultivates and develops and implements alumni association and all Foundation special event initiatives.
  • Coordinates alumni cultivation and engagement programs
  • Manages Alumni Association Advisory Committee to launch and monitor proposed endeavors, sets meeting schedules, facilitates correspondence and maintains accurate record of meeting and program outcomes
  • Administers selection process for the president’s annual Distinguished Alumni Award
  • Manages volunteer participation for Foundation fundraising programs, special events and other related activities including recruiting, assigning tasks, training and soliciting and acknowledging volunteers.
  • Works with the college to coordinate volunteer opportunities
  • Acts as Secretary for Foundation Board of Trustees and fundraising related college committees: writes drafts of Foundation and college committee meeting agendas and prepares supporting documents, attends committee meetings, takes meeting minutes, maintains archives of meeting materials and distributes materials as needed
  • Manages Restaurant Gala operations including but not limited to committee meetings, sponsorships, processes all gala logistics including participating Restaurant Chef logistics
  • Prepares funding applications for events
  • Coordinates all ancillary fund development strategies associated with special events, including raffles, auctions, Giving Tuesday, exhibits, etc.
  • Initiates and tracks purchasing requests for all special events and operations of the department
  • Ensures all contractual, regulatory and safety aspects of special events are completed in a timely and legal manner
  • Processes and tracks ticket orders, purchases and payments for special events and fundraising programs
  • Coordinates Foundation marketing and promotional materials with the College’s Marketing Department and/or independent contractor
  • Researches and recommends cost effective improvements and efficient methods of event control
  • Generates mailings, email newsletters and correspondence for the Foundation and college fundraising programs in collaboration with team members
  • Manages campaign implementation and reporting
  • Writes and edits acknowledgement correspondence and reviews prior to letters being mailed to donors
  • Prepares special event planning activities and outcome reporting
  • Develops content and posting of information for all print and electronic social media platforms related to, Alumni and Foundation fundraising activities-works with College Relations to assist with social media platforms including synchronization of messaging
  • Handles sensitive donor information and assists with stewardship of funds.
  • Serves as scholarship liaison with Atlantic Cape Scholarship Committee and handles Atlantic Cape Foundation responsibilities, including the logistics for scholarship ceremonies
  • Facilitates the process of renewing annual scholarships for both the foundation and college scholarships
  • Responsible for execution and e-delivery of quarterly Alumni Newsletter
  • Executes communication from the Foundation to a wide range of constituents for events and general information
  • Performs related duties as assigned
