About the position

The Family Support Project Specialist will be responsible for the support of program staff on the family support initiatives and will work closely with the Family Support and Community Engagement (FSCE) Director and Program Coordinators in their work on behalf of programs that serve children and families in Pennsylvania. This individual will assist agency staff with event planning, administrative tasks, communications, website and social media updates, reports and other products and services related to the contract deliverables contained in the Center for Schools and Communities (CSC) work statements.

Responsibilities

  • Provide high-level program support for professional learning events for constituents to enhance their effectiveness.
  • Act as project lead for scheduling and monitoring multiple professional learning activities.
  • Coordinate the events planning process with staff, including scheduling meetings and conducting follow-up work.
  • Establish a calendar of events with family support staff and prompt necessary actions.
  • Follow protocols for place-based or virtual room reservations and process participant conference registration.
  • Initiate event invitations with registration and reminder mailings.
  • Track registration and actual attendance, and attend to participant ADA and language needs.
  • Assist with the development of the conference framework and agenda.
  • Edit and create professional wording for draft memos, emails, and letters about events.
  • Create charts, minutes, forms, reports, proposals, and other related items.
  • Work collaboratively with the Family Support team and assist with general organization and operation of initiatives.
  • Assist with and/or coordinate special projects, including the development of publications and presentations.
  • Research and order supplies and materials for assigned projects.
  • Ensure information and documentation are accurate and help prepare contracts and letters of agreement.
  • Manage company-related data in the Customer Relationship Management (CRM).
  • Develop and maintain contact lists for various entities involved with statewide family support services.
  • Input data into various software programs for assigned programs.
  • Maintain collection and filing systems to support the Family Support initiatives.
  • Generate reports on various programs.
  • Review and compose communication and distribute statewide correspondence and publications.
  • Solicit, gather, and assemble information for NewsBrief, e-news, and other communications.
  • Process continuing education credits for qualified Family Support professional learning sessions.
  • Develop and maintain contacts with appropriate CSIU staff, state departments, and other service agencies.
  • Attend conference calls, webinars, and meetings related to family support work.
  • Participate in CSC staff meetings and special meetings.
  • Attend specified professional learning courses to remain current in the field.
  • Research various programs, best practices, and resources as requested.

Requirements

  • A Bachelor's degree in education, social services, information sciences or a related field and minimum five (5) years of work-related experience preferred.
  • Will consider an Associate's degree and minimum eight (8) years of work-related experience.
  • High School Diploma/GED and minimum 13 years full-time work-related experience required.
  • Knowledge of project management methods and techniques.
  • Advanced computer skills, including proficiency in Microsoft 365 products.
  • Advanced skills in Zoom, including setting up registration and using the Zoom Interpretation feature.
  • Ability to work independently and as part of a team.
  • Ability to complete complex projects efficiently and effectively.
  • Ability to multitask and prioritize work.
  • Excellent interpersonal, written, and verbal communication skills.
  • Excellent research skills and proficiency in using appropriate technology.
