About the position

The Faculty Support Specialist (FSS) at Harvard Business School provides essential administrative and tactical support to faculty members, enhancing their ability to teach and conduct research. This role involves acting as a liaison between faculty, students, and various departments, ensuring smooth operations within the academic environment. The FSS is integral to the faculty's success, managing complex calendars, coordinating travel, and preparing teaching materials, all while fostering strong relationships with stakeholders.

Responsibilities

  • Administratively supports multiple faculty, acting as a liaison between students, instructors, and various departments.
  • Provides support to faculty and projects based on business needs and team requirements.
  • Assists faculty during teaching, including assembling syllabi, supporting grading, and preparing class materials.
  • Manages and coordinates complex calendars, scheduling appointments and events.
  • Performs online research and retrieves necessary information.
  • Prepares documents for articles and teaching materials, including proofreading and formatting.
  • Composes and edits professional correspondence, sometimes confidential.
  • Builds strong relationships with faculty, staff, and external partners.
  • Coordinates complex travel arrangements and processes expense reimbursements.
  • Performs office management tasks such as ordering supplies and maintaining a clean environment.
  • May manage the administrative process for faculty and doctoral recruiting.
  • May organize logistics for seminars, research conferences, and other events.
  • Responsible for other duties as assigned.

Requirements

  • High School Diploma or GED required.
  • 3+ years of experience in an administrative, clerical, or executive support role is required.
  • Hands-on experience using Microsoft Office (Word, Excel, PowerPoint, etc.) is a must.
