About the position

The position involves performing administrative duties for the Facilities Department, acting as the primary point of contact for other County Departments to request services. The role includes organizing and distributing work requests, processing work orders using SharePoint, and managing the department's purchasing activities. Additionally, the position assists with fleet management, overseeing the maintenance and replacement cycle of vehicles not related to the Highway or Sheriff departments.

Responsibilities

  • Plan, organize, and develop the budget with guidance from the Facilities Director.
  • Facilitate the budget process for the Facilities Department.
  • Perform month-end accounting procedures and prepare financial reports.
  • Analyze, transfer, and balance department financial records to the County's general ledger.
  • Ensure accuracy of financial reporting and prepare monthly, annual, and end-of-year financial reports.
  • Verify and balance invoices, checks, vouchers, and other financial materials.
  • Process invoices, create purchase orders, and oversee department inventory.
  • Assist with budget development for the 5-year capital improvement plan.
  • Manage the department SharePoint Site and update necessary data points.
  • Compile data and create reports in compliance with established regulations.
  • Coordinate onboarding and offboarding processes for department employees.
  • Support the Facilities Director with interviews and performance evaluations.
  • Process daily timecards and ensure payroll records match.
  • Create department-specific schedules and update the staffing calendar.
  • Act as the point of contact for communications from other county departments.
  • Originate, process, track, and record work orders.
  • Ensure compliance with federal, state, county, and departmental standards.
  • Participate in a 7-day on-call rotation for emergency repairs.
  • Schedule outside contractors for technical equipment servicing.
  • Estimate and purchase replacement parts and supplies.
  • Provide technical support for Card Access/Security Systems.
  • Assist with managing the Brown County Fleet program.
  • Attend meetings to assist the Facilities Director and represent the department.
  • Assume additional responsibilities in the absence of the Facilities Director.

Requirements

  • Associates degree in facilities management, business administration, or accounting preferred.
  • Valid Wisconsin Driver's License.
  • Knowledge of purchasing procedures.
  • Ability to utilize a computer and required software.
  • Knowledge of budgeting principles and financial functions.
  • Understanding of modern office management practices.
  • Knowledge of bookkeeping and basic accounting practices.
  • Ability to follow complex oral and written instructions.
  • Knowledge of project management principles and practices.
  • Ability to develop financial analyses and make recommendations.
