About the position

The Executive Secretary serves as a key administrative support role within the Nursing Department, directly assisting the Director of Nursing. This position is responsible for managing the office of the Director, coordinating executive administrative activities, and performing advanced managerial assignments. The role requires maintaining confidentiality, scheduling meetings, preparing office records, and acting as a liaison between staff and management.

Responsibilities

  • Manage the Director of Nursing's office and coordinate executive administrative activities.
  • Act as a confidential Executive Secretary to the Nursing Director, maintaining confidentiality related to the Central Nursing Office.
  • Schedule and coordinate interviews for prospective employees.
  • Audit payroll and act as a liaison to staff and higher-level management.
  • Research and prepare materials for managerial decisions.
  • Create spreadsheets and perform data-based tasks using Excel and Access.
  • Prepare and maintain office records and correspondence.

Requirements

  • High school diploma or GED required.
  • Five years of administrative support experience, including two years of advanced administrative support work.
  • Experience using a personal computer to prepare correspondence, reports, and charts.

Nice-to-haves

  • Experience in public health is preferred.
