About the position

The Executive Assistant provides high-level administrative support to senior executives, handling a range of clerical and administrative tasks to maximize the executive's focus on strategic initiatives. This role involves managing confidential and time-sensitive materials, preparing professional correspondence, and addressing complex situations with discretion and sound judgment. The Executive Assistant is expected to bring a high degree of creativity, organization, and initiative, often leading or directing the work of other administrative staff. This role requires a blend of professionalism, adaptability, and problem-solving skills to handle diverse challenges effectively and support executive productivity.

Responsibilities

  • Relieve the executive of administrative duties, allowing for a greater focus on strategic responsibilities.
  • Handle a variety of situations and resolve administrative issues to ensure smooth office operations.
  • Manage confidential and sensitive materials with the utmost discretion and attention to privacy.
  • Organize and maintain accurate records, reports, and files necessary for executive and office functions.
  • Prepare routine and advanced correspondence, including letters, memoranda, reports, and presentations.
  • Serve as a communication liaison between the executive and internal/external stakeholders, ensuring timely and clear communication.
  • Manage the executive's calendar, scheduling meetings, appointments, and travel to maximize productivity.
  • Coordinate and organize executive meetings, preparing agendas, minutes, and follow-up action items.
  • Assist with project management tasks as needed, ensuring deadlines are met and objectives are achieved.
  • May lead or direct the work of other administrative staff, fostering a collaborative and efficient team environment.

Requirements

  • Bachelor's degree or equivalent experience in a related field.
  • Minimum of 4 years of experience providing administrative support to executives or senior management.
  • Strong organizational and time-management skills, with the ability to handle multiple priorities and complex schedules.
  • Excellent written and verbal communication skills, with a high degree of professionalism and discretion.
  • Proficient in Microsoft Office Suite and other relevant software applications.

Benefits

  • Base pay range: $61K - $85K per year
