Columbus Humane is seeking an Executive Assistant to provide support for the CEO as well as key organizational functions that include Finance, Development, Marketing, Human Resources, and Operations. Requirements

  • High school diploma (some college coursework or degree preferred) or equivalent combination of education and experience
  • At least 4 years experience supporting a senior level position.
  • Excellent written and verbal communication skills (including grammar and proof reading).
  • Working knowledge of MS Word, Publisher, Excel, PowerPoint and Outlook.
  • Must display a high level of professionalism, discretion, and use trusted and independent judgement.
  • Ability to manage and prioritize workload from multiple sources.
  • Be able to anticipate change and react efficiently, be comfortable with flexibility.
  • Ability to excel under pressure, maintaining a calm demeanor.
  • Passionate belief in Columbus Humane’s vison, mission and values.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community and champion inclusion in all aspects of work.

Responsibilities

  • Thinks, communicates and acts in the best interest of Columbus Humane and our human and animal clients at all times; models our mission and values in all job-related functions.
  • Proactively anticipates and serves the needs of the CEO. Acts as CEO’s representative in dealings with third parties. Independently resolves problems.
  • Prepares correspondence, documents, reports and other materials which may be complex or confidential with a specific focus on CEO and Board of Trustees responsibilities.
  • Coordinates calendar and schedule for CEO, making independent decisions based on established priorities. Anticipates needs for information and/or supplemental materials and coordinates meeting preparation.
  • Coordinates department committee and work group meetings. Prepares meeting materials and takes minutes. Supports the work and progress of the committees and groups.
  • Conducts research, compiles data and prepares documents for consideration and presentation by executives, committees and board of directors, and for grants. Creates and analyzes reports.
  • Updates records and contact information for stakeholders. Updates and maintains versions of approved Columbus Humane forms for internal and external use.
  • Assists Philanthropy and Communications department with fundraising and external communications activities including but not limited to: production of donor information packets, mass appeals campaigns, event support, and website/social media.
  • Assists CFO/Controller with fiscal activities including but not limited to: check processing, invoicing, remittance, and daily banking.
  • Assists Operations department with management activities including but not limited to: volunteer training/information assembly, facilities management, and scheduling and room reservations.
  • Schedules and prepares for meetings including taking minutes, setting up meeting space including arranging tables/chairs and computer/AV equipment, etc. where needed. Coordinates business breakfasts/luncheons and meetings scheduled at Columbus Humane.
  • Organizes and maintains electronic and paper records and reference/resource files for the CEO. Coordinates file archival and record destruction schedule; arranges for and supervises volunteers to assist, as needed, with paper filing and data entry.
  • Handles travel arrangements for Columbus Humane staff.
  • Provides additional administrative support to others as requested/assigned including but not limited to assisting the Board of Trustees, COO/CMO, CFO and department Directors.
  • Other duties as assigned.
