About The Position

Responsible for providing a variety of administrative and clerical support duties and for ensuring the efficient organization and operation for the Connecticut Government and Regulatory Affairs groups. Works independently to perform daily office activities and procedures (office supplies/services, budget monitoring and control, record-keeping systems, incoming correspondence, etc.) to ensure a smooth office atmosphere. The individual will serve as a highly trusted partner, exercising discretion, confidentiality, tact, and diplomacy at all times. This role is accountable for establishing and managing all phases of office operations, coordinating and organizing projects to maximize efficiency, and identifying and implementing creative process improvements to enhance workflow and overall effectiveness.

  • Ability to work independently
  • Ability to manage multiple priorities, maintain confidentiality, and operate with poise
  • Demonstrated expertise with Microsoft Programs (Outlook, PowerPoint, Excel, Word, etc.)
  • High School Diploma required
  • Seven (7) years demonstrated executive secretarial experience or equivalent.

Nice To Haves

  • Associate degree, Advanced business school/secretarial training preferred
  • Certification in secretarial science preferred

Responsibilities

  • Reviews and provides summaries and recommendations on letters, reports and other documents as requested.
  • Arranges meetings, appointments, and travel; controls calendar and workday; Screens and prioritizes requests for directors’ time.
  • Coordinates, composes and prepares materials/agendas/reports for managers’ internal and external appointments and commitments.
  • Manages telephone, written correspondence, and personal contact with Directors by maintaining current awareness of priorities and personal preferences.
  • Maintains close contact with other officers and department managers within and across other organizations to apprise Manager of significant activities and events.
  • Manages the coordination of cross-functional projects, assignments, etc.
  • Analyzes organization’s administrative practices, recommends creative ideas, then implements strategies to improve office workflow.
  • Creates and maintains sophisticated computerized data documents to support (and report on) organizations’ operations.
  • Contributes to organizations’ success by providing efficient, high quality customer service, to all internal and external constituents.
  • Uses formalized team approach to provide assistance to colleagues and managers.
  • Works independently to perform daily office activities and procedures (office supplies/services, budget monitoring and control, record-keeping systems, expense reimbursements, incoming correspondence, etc.) to ensure a smooth office atmosphere.
  • Must be available to work emergency restoration assignment as required.
  • Must be available to travel between MA/CT/NH as necessary.
