About The Position

The Executive Assistant provides high-level administrative and strategic support to the Vice President, Enterprise Delivery Office, Scotiabank. This role is pivotal in ensuring smooth day-to-day operations of the EDO leadership team by managing complex schedules, coordinating enterprise-level initiatives, and facilitating communications across internal and external stakeholders. The ideal candidate is highly organized, proactive, and capable of operating with a high degree of discretion and professionalism in a high-paced, enterprise-level environment. The individual applying for this role should bring a spirit of efficiency, proactivity and creativity in a problem-solving environment.

Requirements

  • Minimum of 2 years experience as an executive assistant.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel and PowerPoint).
  • Experience working in large, complex organizations with extensive stakeholder management.
  • Impeccable organizational skills, autonomy, and solution-oriented attitude.
  • High level of discretion required when dealing with confidential matters.
  • Strong ability to effectively perform in a complex, high changing environment.
  • Solid time management, communication, and presentation skills.

Responsibilities

  • Provides calendar and time management to the executives using good judgement, coordinating, and collaborating with others to balance priorities.
  • Gathers, compiles, verifies, and analyzes information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases.
  • Performs high level administrative support: drafting letters and official information releases, arranging, and attending meetings; and taking and distributing minutes.
  • Monitors, reviews, and approves standard expenditures to ensure the activities of the office are conducted within established budgets (expenses). Manages travel arrangements for the executives as required.
  • Acts as the primarily liaison and coordinator for department initiatives.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Acts as the Planner for the Business Continuity Plan for the department.
  • Actively engages, attends and participates in Community events. Supports the leadership team in developing inclusive practices and working environment.
  • Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct, and the Global Sales Principles.
