About The Position

Our customer has engaged us to identify a highly organized and proactive Executive Assistant to provide comprehensive high level administrative support to senior leadership. This is a fast paced role where you will act as a trusted partner to several C-suite executives, ensuring seamless day-to-day operations and effective coordination across internal and external stakeholders. This is a contract position, with the possibility for full time hire for the right person. This person will report to the Executive Assistant Manager. You will play a critical role in managing executive priorities, facilitating communication, and supporting meetings and events in a hybrid work environment. This role collaborates closely with a broader administrative support network to ensure alignment and continuity.

Requirements

  • Associate's degree (or equivalent experience); bachelor's degree.
  • 4+ years of experience supporting senior C-Suite executives in a global organization.
  • Advanced Microsoft Office experience (Outlook, PowerPoint, Excel, Word) and collaboration tools.
  • Expertise in managing complex scheduling, inboxes, and competing priorities.
  • Strong organizational skills with exceptional attention to detail.

Responsibilities

  • Provide high-level administrative support to C-level executives and senior leaders; anticipate executive needs and proactively address conflicting priorities.
  • Manage multiple complex calendars across global time zones, including prioritization and conflict resolution, without dropping details.
  • Coordinate detailed domestic and international travel arrangements.
  • Handle expense reporting and invoice processing.
  • Organize and support meetings, conferences, and leadership events from planning through execution; provide onsite support for leadership meetings and key events.

  • Act as liaison between executives, internal teams, board members, and external partners.
  • Collaborate with executive administrative teams to ensure alignment and coverage.
  • Serve as a point of contact for office-related needs and escalate issues when necessary. Partner with vendors (e.g., facilities, security, cleaning, catering) to maintain smooth operations.
  • Manage high-volume inboxes, multiple calendars, and maintain reliable and repeatable organized electronic filing systems.
