About The Position

This position provides high-level administrative support, performing clerical functions such as managing calendars, preparing correspondence, handling information requests, and arranging meetings. The role also assists in processing staff evaluations and participates in meetings, taking minutes.

Requirements

  • High school diploma or GED required.
  • Effectively communicate via written, verbal, in person and virtual methods.
  • Demonstrates an understanding of audience needs.
  • Highly proficient in Microsoft Excel and Word.
  • Strong attention to detail and ability to multi-task.
  • Ability to utilize technology to streamline processes and make recommendations for process improvements.
  • Understanding of timesheet allocation.

Responsibilities

  • Assists supervisors with assigned tasks, sets up meetings, travel arrangements, and maintains Outlook calendars.
  • Facilitates on-boarding and tracks staff development compliance.
  • Coordinates peer and supervisee feedback for performance evaluations of staff/programs and prepares summaries for leaders.
  • Manages and provides office functions and support, including ordering supplies, processing mail, calculating timesheets, and tracking/scheduling paid-time-off requests.
  • Manages corporate card and approved purchases.
  • Performs data analysis and prepares reports, collects and summarizes statistical information from Centerstone database systems for monthly reporting.
  • Coordinates peer reviews of client files and prepares performance improvement reports per program.
  • Coordinates internal and external program trainings as needed with VP and program managers.
  • Manages schedules, files/data, project status, and other information as needed.
  • Works independently and in a team environment.
  • Handles documentation, meeting minutes, and emails.
