About the position

The Executive Assistant to the President provides high-level administrative support to the President of Gateway Community & Technical College. This role is essential in ensuring the smooth operation of the President's office, managing schedules, coordinating meetings, and handling various administrative functions with professionalism and confidentiality. The position requires a commitment to diversity, equity, and inclusion, along with excellent organizational and interpersonal skills.

Responsibilities

  • Provides senior, executive support to the President/CEO in all activities.
  • Handles a wide variety of situations involving administrative functions for the president.
  • Supervises daily office activities to assure the President's office is operating smoothly and efficiently.
  • Participates in XLT Leadership Team Meetings & Board of Director's Meetings.
  • Transcribes minutes for each meeting and maintains up-to-date records of each.
  • Coordinates President's Schedule to maximize time and responsibilities.
  • Schedules logistics and secures resources for meetings, conferences, and travel.
  • Manages budget for President's office and other duties as assigned.

Requirements

  • Bachelor's degree or equivalent and 2 to 4 years experience.
  • Excellent organizational skills with high attention to detail.
  • Ability to work independently and in a fast-paced, changing environment.
  • Excellent interpersonal skills and ability to communicate professionally with individuals at all levels.
  • Proficient computer skills in Microsoft Office (Excel, Forms, Outlook, Teams, SharePoint, and Word).

Nice-to-haves

  • Background/knowledge of college operations.
  • Project planning experience.
  • Understanding of working with students from diverse populations.
  • Experience working at the community college level.
