About the position

We are looking for an Executive Assistant to the CEO who brings order to complexity, thinks three steps ahead, and takes pride in getting the details right. This is a hands-on, high-trust role at the heart of Dion’s — perfect for someone who values service, enjoys variety, and believes work can (and should) be enjoyable. As the Executive Assistant to the CEO, you’ll be a vital partner in supporting our CEO’s mission to lead, inspire, and drive Dion’s and Tula’s forward. You’ll play a key role in ensuring the CEO’s time is effectively managed, allowing them to focus on strategic initiatives and relationship building. Responsibilities

  • Oversee the CEO’s calendar, including scheduling and coordinating meetings, events, and personal appointments.
  • Arrange on-site meetings, prepare agendas, distribute required documents, and coordinate follow-up actions.
  • Manage daily email and phone communications, sort messages, respond as appropriate, and flag critical issues for the CEO’s attention.
  • Coordinate visits and thank-you notes to celebrate and recognize employees.
  • Arrange all aspects of travel, including accommodations, transportation, and meals.
  • Collaborate with directors to prepare materials for quarterly Board meetings, maintain accurate meeting notes, and coordinate off-cycle meetings as needed.
  • Draft presentations and public remarks to be delivered by the CEO, ensuring clarity and alignment with organizational messaging.
  • Manage the CEO’s expense reports, track dues and subscriptions, and coordinate with the CFO to distribute financial documents.
  • Assist in planning company-wide meetings, industry gatherings, and events hosted by the CEO.
  • Conduct research, analyze information, and prepare concise summaries for the CEO.
  • Continuously seek ways to improve the efficiency and effectiveness of the CEO’s administrative processes.

Requirements

  • A minimum of three years’ experience as an executive assistant supporting C-level executives.
  • Advanced proficiency in Microsoft Office suite.
  • Exceptional verbal and written communication skills.
  • Ability to work a flexible schedule as needed.
  • Strong attention to detail and organizational skills.
  • Integrity, discretion, and a commitment to professional excellence.

Nice-to-haves

  • Commissioned as a notary is a plus.
